POSITION PURPOSE
This position is responsible for providing high-level customer service throughout the effective implementation of the volunteer, child enrollment, and match support process in accordance with the Big Brother Big Sisters brand of excellence, whether in-person or virtual. Throughout their tenure with BBBS of Miami, the Program Specialist will be cross-trained in additional mentoring programs (outside of the program to which they are initially assigned).
The Program Specialist is also expected to uphold the mission and values of BBBS of Miami, promoting a culture of inclusivity, collaboration, and respect.
Key Relationships :
The Program Specialist reports directly to the Director, Programs.
Core Responsibilities :
The Program Specialist will be responsible for but not limited to the following :
Conduct volunteer enrollment, including orientations, interviews, and completion of all enrollment requirements (in-person and virtual).
Conduct client enrollment for children and families, including interviews, child safety education, and referrals to additional services as needed.
Apply child safety and risk management policies consistently; identify and address safety concerns for children, families, and volunteers.
Support outreach and front-loading efforts to ensure student enrollment prior to the school year.
Recruit and enroll Site-Based Littles in collaboration with Miami-Dade County schools and partners.
Follow agency timelines, policies, and procedures to ensure service excellence and child safety.
Collaborate with service delivery staff to ensure smooth transitions across enrollment, matching, and support functions.
Assess factors contributing to successful matches and align volunteer interests and qualifications with appropriate service options.
Determine matches and facilitate match introductions based on volunteer and family availability (including evenings and weekends as needed).
Provide ongoing case management, match support, and child safety oversight to sustain long-term, high-quality matches.
Maintain regular contact with children, parents / guardians, and volunteers in accordance with agency standards.
Review child goals and progress with children, families, and volunteers; provide safety reminders and referrals as needed.
Assess and address training, information, and support needs for participants.
Conduct match evaluations and maintain timely, accurate documentation and contact notes.
Maintain accurate records and case files in compliance with BBBS and agency standards.
Work in person, remotely, or in a hybrid environment as required.
Perform additional duties as assigned.
Personal Qualities and Key Credentials :
Bachelors degree in social work, psychology, education, or related field preferred but not required.
A minimum of 2 years of experience in case management, social services, education, or a related field.
Excellent interpersonal, communication, and problem-solving skills.
Ability to maintain confidentiality and manage sensitive information.
Familiarity with child safety protocols.
Bilingual in English and Spanish is a plus.
Exceptional organizational and time management abilities.
Strong attention to detail and accuracy.
Ability to multitask and prioritize effectively in a fast-paced environment.
Proficiency in office software tools, Microsoft Office Suite and other relevant applications.
Excellent problem-solving skills with the ability to navigate complex situations.
Proven ability to develop and maintain relationships with a wide array of people.
Understanding of the nonprofit sector and familiarity with the mission of BBBS, Miami is a plus.
Work Environment / Physical Requirements :
Routine office environment with flexible work hours to meet the organizations needs
Must be able to remain in a stationary position at least 50% of the time
Must be able to move about the inside of the office
Must be able to exchange accurate communication
Must be able to operate office productivity machinery (i.e. computer, copier, etc.)
Must be able to lift office equipment up to 25 pounds.
Location :
This position is based in Miami, Florida, at BBBS of Miamis headquarters at 550 NW 42nd Avenue Miami, FL 33126 with 30% of total work time traveling.
Compensation :
The Program Specialist is a full-time non-exempt position. This position is supervised by the Director, Programs (Mentoring). The salary for this position is between $38,000 - $52,000 depending on experience. BBBS of Miami positions involve regular computer use plus some minimal lifting.
