About the Role :
Sigma Inc. is seeking a detail-oriented and professional Administrative Assistant to support senior leadership within the Executive Office of Technology Services and Security (EOTSS) . This position provides critical administrative and executive-level assistance to the Chief Engagement Officer , Chief Data Officer , and Assistant Secretary of Strategy and Planning .
The ideal candidate will also serve as the front-facing receptionist for the Boston office, ensuring smooth daily operations, excellent communication flow, and top-tier administrative support.
This is a full-time onsite role located at One Ashburton Place , Monday through Friday, 9 : 00 AM - 5 : 00 PM EST , for an 8-month contract .
Key Responsibilities :
- Serve as the primary point of contact for all administrative needs across three executive leaders.
- Manage the reception desk , greeting visitors, answering calls, sorting mail, and addressing building-related issues.
- Coordinate complex scheduling and maintain calendars for leadership and cross-agency meetings.
- Arrange travel logistics , process expense reports , and manage procurement and ethics documentation.
- Prepare and organize briefing materials , presentations, and communications for internal and external audiences.
- Maintain and organize shared digital resources and files, ensuring accuracy and accessibility.
- Track project deadlines, deliverables, and action items for strategic data and engagement initiatives.
- Assist with talent acquisition and onboarding processes within the data office.
- Support team communications, meeting documentation, and overall office operations.
Qualifications :
Minimum of 2 years of administrative or executive support experience , preferably supporting senior leaders.Proven organizational and multitasking skills , with the ability to prioritize under tight deadlines.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general computer literacy.Strong written and verbal communication skills ; ability to interact effectively with internal teams and external partners.Professional discretion and ability to handle confidential information responsibly.Demonstrated ability to work both independently and collaboratively in a fast-paced, deadline-driven environment.Previous experience in state or government agencies is a plus.Additional Information :
