Position Overview
The Programming Manager supports Tennessee Performing Arts Center’s artistic vision and operating model by driving revenue growth and maximizing the utilization of our four premier venues and associated spaces, especially through commercial rental clients. Reporting to the Director of Programming, this role exemplifies uncompromising work ethic and proactive professionalism with a passion for cultivating client relationships, mastering contractual details, and contributing to a collaborative, inclusive, and financially strategic team culture.
Primary Responsibilities
Client Relations and Revenue Generation
- Cultivate Rental Client Relationships : Creatively and strategically identify, establish, and maintain strong relationships with new and repeat rental clients, including preferred promoters, booking agencies, event planners, and local businesses, with a focus on maximizing rental and ancillary revenue.
- Serve as Sales Lead : Act as the primary TPAC contact and liaison for ticketed and non-ticketed rental clients, guiding them seamlessly through the entire rental process from initial inquiry to final confirmation.
- Expertly Guide Bookings : Conduct venue tours, develop accurate cost estimates, and collaborate across departments to determine event feasibility, ensuring a customer-friendly and knowledgeable experience that upholds and advances TPAC’s reputation in the market.
- Implement Sales Strategy : Develop and execute effective sales plans and materials designed to secure rental income and contribute to growth strategies in conjunction with the Director of Programming.
- External Engagement and Industry Relations : Represent TPAC professionally at key industry conferences and events, as needed. Participate in local networking opportunities, and cultivate and maintain strong relationships with agents, promoters, and partners to increase brand awareness, trust, and market presence.
Venue Management and Logistical Coordination
Manage the Season Calendar and Resource Management : Manage the complex booking calendar and coordinate resources for all four TPAC-managed venues and ancillary spaces, balancing the needs of external rental clients and internal departments.Internal Liaison : Effectively interface with all internal departments to disseminate critical information and contractual obligations, while ensuring their successful fulfillment by internal teams.Process Improvement : Collaborate with the team to continuously fine-tune and upgrade the services and products offered to maintain a competitive edge and generate maximum return.Contracts, Compliance and Financial Administration
Contract Administration : Issue license agreements and meticulously monitor client compliance with TPAC policies and operating procedures, specifically related to financial terms, insurance, legal requirements, music licensing, and taxation.Financial Reporting & Analysis : Generate cost estimates, manage invoicing and receivables, and administer / advise on event settlements, partnering with the finance team to ensure accuracy and compliance.Data Integrity : Maintain complete, accurate, and detailed records for all events within the Momentus database, including settlement, billing information for finance, and required industry reporting.Regulatory Awareness : Maintain awareness of State and local laws, policies, and procedures, reporting any impactful changes or potential non-compliance to leadership in a timely manner.Budgetary Oversight : Monitor departmental expenses, assist with budget creation, and report any significant financial variances for proper handling in the reforecast process. Ensure budgetary goals are met, demonstrating fiscal responsibility and efficiency.The responsibilities listed above are not all inclusive. Other related duties may be assigned.
Skills and Knowledge :
Required Qualifications
Experience : 2+ years required of direct experience in event management, production, contract administration, negotiation, and talent management, preferably within the entertainment or performing arts sector.Education : Bachelor's degree from an accredited four-year institution.Communication : Strong, persuasive written and verbal communication skills required for high-level professional correspondence and sensitive negotiations.Technical Proficiency : Demonstrated proficiency in Microsoft Office Suite and a capacity to rapidly learn database systems (Momentus experience is a plus).Schedule Flexibility : Maintain a hybrid work schedule, requiring a minimum of three days per week on-site in TPAC's offices, with flexibility and willingness to work nights and weekends for select meetings, events, and performances with advance notice.Core Competencies
