Air Export Agent Job Location : Indianapolis, Indiana
Coordinate end-to-end air export shipments, ensuring timely booking with airlines on behalf of customers. Communicate with customers, warehouse teams, airlines, gateway operations, and dispatch to guarantee smooth cargo movement. Monitor and follow up with air carriers and road transportation providers to track shipment milestones. Prepare and review all required export documentation in accordance with country-specific regulations, including Certificates of Origin, Cargo Manifests, NAFTA Certificates, Airway Bills, and other customer-required documents. Ensure accurate and compliant filing of AES (Automated Export System) for customs clearance. Maintain compliance with internal SOPs and customer-specific SOPs (cSOPs). Provide proactive updates to customers regarding shipment status and delivery commitments. Maintain continuous communication with overseas offices and carriers to monitor departure and arrival milestones. Audit shipment charges for accuracy prior to submission for payment. Confirm payment responsibilities based on agreed terms and review customer credit status when necessary. Ensure customer profiles are accurate and up to date. Process daily DHL Air Product ThermoNet shipments in full compliance with Air Product and GxP guidelines. Organize pickup and delivery for customers, ensuring adherence to customer SOPs and internal SOPs. Provide freight documents and monitor outbound cold chain processes, acting as escalation point for the central monitoring team. Handle operational escalations and provide required information for LifeTrack SOP and PMR reporting. Meet or exceed all Key Performance Indicators (KPIs). Perform additional duties as required. Support the Air Product team with pricing. Complete all assigned training within established timelines.
Exceptional customer service skills with strong communication and problem-solving abilities. Detail-oriented with excellent organizational and follow-up skills. Proficient in MS Office products. Experienced in handling DHL ThermoNet shipments. Trained and certified for DHL ThermoNet shipments under GxP guidelines. High school diploma or equivalent (Associate or Bachelor's degree preferred). Minimum 2 years of experience in air export operations or international logistics. Knowledge of export documentation, customs regulations, and cold chain processes. Pay Range : $19.39 - $25.85 / hr. (Based on Experience)
