Enrollment Coordinator
Location: Norman, OK
Schedule: Minimum 25 hours potential up to 40 hours per week

Position Summary
The Enrollment Coordinator provides essential administrative and operational support to the Enrollment team, ensuring a smooth and efficient experience for prospective students throughout the admissions process. This role is ideal for someone who is detail-oriented, organized, and eager to contribute to a fast-paced, student-centered environment. The Enrollment Coordinator will manage documentation, handle administrative tasks, support communication workflows, and assist enrollment managers and coaches in delivering high-quality service.
Key Responsibilities
Student Documentation & Record Management
· Collect, organize, and track required student documents (transcripts, identification, forms, etc.).
· Ensure accuracy and compliance in all student files and records.
· Upload, update, and maintain data within CRM and student information systems.
· Monitor document status and communicate with students regarding missing or incomplete items.
Administrative & Operational Support
· Provide day-to-day administrative support to Enrollment leadership and coaches teams.
· Assist with reviewing student files in the system, checking for new documents, and fulfilling steps in the admissions process that allow for Enrollment Coaches to follow up with the applicant/student.
· Support data entry, reporting, and basic CRM tasks as requested.
· Help maintain team calendars, inboxes, and workflow organization.
Communication Support
· Respond to routine student questions via phone, email, or text, using prepared templates or scripts.
· Route more complex inquiries to the appropriate advisor or manager.
· Support outbound communication for application reminders, documentation requests, and enrollment next steps.
Team Support & Collaboration
· Collaborate closely with advisors, managers, and cross-functional partners (Marketing, Student Success, Operations) to ensure timely student movement through the pipeline.
· Support special projects related to new program launches, documentation updates, and enrollment events.
· Assist with audit checks to ensure data accuracy and process consistency.
Qualifications
· High school diploma required; associate or bachelor’s preferred.
· Prior administrative, office, or student services experience strongly preferred.
· Strong organizational skills with excellent attention to detail and accuracy.
· Comfortable managing multiple tasks in a fast-paced environment.
· Strong written and verbal communication skills.
· Basic proficiency in Microsoft Office and familiarity with CRM systems (Salesforce a plus).
· Ability to type 45+ wpm
· Customer-service - oriented with a supportive and professional demeanor.
· Ability to work additional hours when necessary to complete time-sensitive tasks.
