POSITION : Operations Management Associate
EMPLOYED BY : Executive Director
RESPONSIBLE TO : Senior Director of Operations
STATUS : Non- exempt / PT (up to 30 hours per week)
MAJOR RESPONSIBILITIES :
The Operations Management Associate works with the Senior Director of Operations to assist with all business management initiatives including long term projects as well as ad-hoc requests. Working with executive leadership and Program Directors across the organization, the Operations Management Associate helps to ensure the use of the most effective and efficient administrative, financial, and operational systems, processes and controls. Additional responsibilities include ensuring all measures are taken to protect the credibility and reputation of the organization as well as the health and safety of employees, volunteers, and persons served.
Position Summary :
Reporting to the Senior Director of Operations, the Operations Management Associate assists with the administration and execution of effective organizational, operating, and administrative systems and technology to provide maximum effectiveness, efficiency, and sustainability in all aspects of the organization. Responsibilities include but are not limited to :
- Assist with centralized procurement / purchasing and payables processing including staff credit card vouchers.
- Assist in processes related to program invoicing and project budgeting.
- Assist with fleet oversight to include comprehensive and organized tracking of all FACETS’ vehicles (service, insurance, registration, emissions).
- Oversight of monthly physical inspection of all FACETS’ vehicles (lights, blinkers, tire pressure, damage, etc.).
- Assist with oversight of all locations’ facilities issues
- Assistance with Development team on regularly occurring drives and events such as Back to School, Thanksgiving, Christmas, food drives, and deliveries.
- Assist with the management of multiple FACETS’ office locations and offsite storage,
- Maintain up to date inventory of I.T. hardware across all locations and work with our IT contractor to ensure computers and office equipment are operational and up to date.
- Manage office equipment inventory and office contracts.
- Assist with reconciliation of purchases and regularly occurring financial transactions.
- Assist with development and oversight Safety and Health policies and procedures.

Diploma required, Bachelor’s degree preferredAbility to work in a fast-paced and dynamic operation with the ability to prioritize and complete competing initiatives.Experience with MS Office Suite. Advanced knowledge of MS Excel preferred.A team player, flexible and adaptable as circumstances evolve.Effective written and interpersonal communication skills with a wide range of audiences.Excellent time management and organizational skills while maintaining high productivity in juggling and prioritizing multiple projects.Attention to detail and concern for accuracy and excellence.Proficient in use of computerized spreadsheet software and related applications.Outstanding level of tact and discretion in handling sensitive matters.High degree of empathy for our clients served.Physical Requirements :
Prolonged periods of sitting at a desk and working on a computer.Must be able to lift up to 25 pounds at times.Must be able to drive a 15-passenger / cargo van.Successful completion of background check.Must be able to attend occasional meetings at other FACETS office locations within Fairfax County, including 3 annual organization-wide fundraising events each year.The responsibilities of this position call primarily for in-person presence, including occasional weekends and evenings.
