Our client is a well established organization within the financial services and wealth management industry that supports advisors and clients with investment retirement and financial planning solutions. They are seeking a Branch Administrator to serve as the primary front office contact and provide administrative and operational support to a busy financial advisory office. This role is ideal for someone who is personable detail oriented and comfortable working in a professional client facing environment. Job Description
The Branch Administrator plays a key role in supporting daily office operations while delivering a high level of service to clients and internal teams. This position supports advisors and staff through administrative clerical and client service responsibilities.
Core responsibilities include :
- Greet clients and visitors professionally and serve as the main office contact
- Answer screen and route incoming phone calls and provide accurate information about services
- Schedule and coordinate client appointments meetings and conferences and maintain calendars
- Compose and send professional emails memos and correspondence
- Manage incoming and outgoing mail packages and special shipments
- Maintain client files prepare engagement letters type financial statements and organize documents for delivery
- Assist with invoicing acknowledgments and mailings related to finance or accounting tasks
- Perform data entry and maintain databases mailing lists and client records
- Order office supplies manage equipment and keep reception and conference areas organized
- Provide general administrative support including ordering lunches and handling special requests Qualifications
Required
- At least one year of experience in an office support administrative or receptionist role
- Proficiency with Microsoft Office including Outlook Word and Excel
- Strong customer service skills with a professional and personable approach
- Excellent attention to detail and organizational skills
- Ability to manage multiple tasks prioritize work and meet deadlines
- Strong written and verbal communication skills
- Ability to handle sensitive information with discretion and confidentiality
- High school diploma or equivalent
Preferred
- Experience in a financial services accounting or professional services environment
- Familiarity with CRM systems such as Redtail or Salesforce with training available if no prior experience
