Quotations Coordinator
The Quotations Coordinator provides project management skills for managing the assigned projects of the Quotations area. Maintains the schedule of jobs being bid, an accurate database on current projects, and ensures required specifications are met for all jobs in progress. Follows up on quotations to clarify product specifications, resolve outstanding issues, ensure the completion of the quotation process for each assigned project. Assists in purchasing functions, product evaluations and code descriptions, inventory management, pricing development, and other related services. Resolve customer billing problems as needed.
Responsibilities
Essential Functions:
- Works closely with Border States' quotations specialists to project manage quotations.
- Works with vendors and internal personnel to complete job specific returns and return material authorizations (RMA's).
- Maintains the schedule of jobs being bid, maintains accurate database on current projects, and ensures required specifications are met for all jobs in progress.
- Follows up on quotations to clarify product specifications, assure outstanding issues are resolved, and develop schedules that will meet customer's required deadlines.
- Completes the quotation process for each assigned project.
- Maintains accurate tracking reports and material handling on all stored in-house projects and maintain Border States' Virtual Warehouse website where applicable.
- Obtains orders and provides sales support for the outside sales force functions including, but not limited to, order entry, expediting, pricing, follow-up, and other value-added services as required.
- Provides consistent and responsive quality service to our customers.
- Actively participates in coordinating, analyzing, and acting upon information and feedback of customer needs, pricing, products, competition, and procedures.
- Provides assistance in purchasing functions, product evaluations and code descriptions, inventory management, pricing development, and other related services.
- Coordinates with the Quotations staff and Customer Financial Services staff to resolve customer billing problems resulting from errors in the quotations process, pricing, shipping, delivery, or other customer service/credit areas.
- Obtains, organizes, completes, and submits all required documentation for submittals, RFI's, change orders, Operation and Maintenance Manuals (O&M's), and other items related to project closeout.
Non-Essential Functions:
- May place orders and hold orders on secured projects, prepare submittal drawings, and release hold orders after submittal approval.
- May provide operating and maintenance manuals to customers.
- May assist with negotiating with lighting vendors for best pricing and best delivery of products to customers and/or jobsites.
- Attends sales meetings and training programs, as required. May assist with sales meetings and trade shows, as needed.
Qualifications
- Minimum of a business or trade degree preferred or the equivalent in work experience.
- Minimum of 2 years of prior customer service, quotation, or sales experience with strong knowledge of lighting, electrical products and systems preferred.
- Comprehensive knowledge of product lines and applications, alternate product substitutes, and supplier pricing policies preferred.
- Ability to read, write and speak in English preferred.
- Strong working knowledge of PC for Windows, Microsoft Office (Excel, Word, and PowerPoint), Internet, Email, and SAP software.
Skills and Abilities
- Technical ability to understand electrical systems and product applications with prior electrical distribution experience preferred.
- Technical ability to read blueprints.
- Excellent interpersonal, written, and verbal communication, reading, and customer service skills are preferred with the ability to effectively plan and organize.
- Excellent customer service skills include being competent, accurate, responsive, and engaged.
