Description

Reporting directly to the Director of Program Accountability, this position serves a variety of functions including the setup and maintenance of student records, data entry for student registration and LEIS , grades, graduates, and contact hours; updating and monitoring Adult High School student transcripts; maintaining official transcript documentation and records; assisting with course roster pre-audit and processing; and maintaining confidentiality of student records through established procedures. This position provides complete and accurate LEIS reports, assessments, and student retention data for the Adult Education (AE) Program, and administers TABE , CASAS , and other NRS -approved assessments in person and remotely according to National Reporting System ( NRS ) testing requirements. This position analyzes and evaluates data related to student performance.

Duties / Functions

  • Review student’s information to ensure the LEIS form is completed correctly for correct program placement.
  • Review test scores prior to entry to ensure the correct test was given and appropriate for class according to NRS guidelines.
  • Accurately enter data, create, and maintain all electronic and physical LEIS and registration student records.
  • Register students to Adult Education classes.
  • Review, enter, interpret, and evaluate student test scores, grades, and credits.
  • Maintain the unit’s graduation data including official lists of AHS and HSE graduates for each year.
  • Maintain and input data about Adult Education instructor and staff certifications as required by NCCCS .
  • Monitor student progress per standardized testing and administer tests per NCCCS College and Career Readiness Assessment Manual.
  • Monitor attendance for minors for the NC Driver’s License law and ensure compliance with minor release form requirements.
  • Review and evaluate the accuracy and appropriateness of student data, outcomes, goals, etc., and report discrepancies or concerns to the appropriate Director.
  • Develop a systematic approach to work with directors to update and address conflicting or non-conforming data.
  • Monitor web attendance data for student retention, alert instructors, coordinators, and directors of any students at-risk of not meeting the attendance policy.
  • Assist in monitoring student attendance to ensure all web attendance is entered no more than one week after the date of the class. Follow up with the Director of Program Accountability with any issues.
  • Ensure all students have LEIS forms filed for each program year attended. Coordinate with the directors when forms are missing.
  • Collect student outcome data; gather, compile, and analyze information; prepare weekly reports for Associate Dean, Directors, and Instructors.
  • Work with Directors, and faculty to maintain student outcome tracking.
  • Assist the Director of Program Accountability with analyzing student data per NCCCS College and Career Readiness (Basic Skills) benchmarks and federal requirements to prepare timely reports that allow for data-informed management including, but not limited to, students ready for post-testing, MSG rates overall and by class, retention, post-testing rates, Table 4, and Table 4B.
  • Complete reports requested by outside agencies, the North Carolina Community College System Office, and other college offices.
  • Make recommendations to Director of Program Accountability regarding policies and procedures related to LEIS data, records, registration, audit systems, transcripts and computer data systems.
  • Implement effective oral communications skills, data collection, and analysis skills with instructors and staff in order to meet deadlines, ensure report accuracy, and maximize program performance and retention.
  • Assist with student orientation.
  • Maintain certification to administer National Reporting System ( NRS ) tests and assist in the pre and post-testing of Adult Education students according to NRS guidelines.
  • Greet general public in role as manager of student records when assisting with registration activities and as needed for department’s reception desk.
  • Respond to inquiries from the general public received via written and electronic communications.
  • Promote the philosophy of the college in all community activities and contacts.
  • Attend appropriate staff and faculty meetings.
  • Promote the overall mission and goals of the Adult Education Program and GTCC .
  • Attend and participate in appropriate local and state workshops and conferences to enhance job performance and pursue professional skills enhancement courses.
  • Perform all duties as assigned by supervisor.
  • Demonstrate and model the College’s employability skills : adaptability, communication, information processing, problem solving, responsibility and teamwork.

    Education Required

    Associate degree in organizational design, technology, business administration, information systems, or related field from a regionally accredited post-secondary institution or four years of related experience.

    Education Preferred

    Bachelor’s degree in organizational design, technology, business administration, information systems, or related field from a regionally accredited post-secondary institution.

    Experience Required

  • Three years of related records management experience, including evidence of experience in the following areas :
  • Thorough knowledge of data entry best practices and procedures
  • Proficiency in Microsoft Office products and experience developing spreadsheets, developing presentations, and using database software applications as determined by pre-employment testing
  • Experience reviewing data according to programs and policies
  • Experience recognizing and reporting data anomalies
  • Experience Preferred

  • More than three years of related records management experience
  • Experience in an academic setting
  • Literacy Education Information System ( LEIS ) Adult Education data entry and analysis experience.
  • Experience reviewing data according to Community College and / or Adult Education programs and policies.
  • Experience working with National Reporting System ( NRS ) Testing and Performance Measures.
  • Experience analyzing, compiling, and reporting data analyses related to student performance and / or retention.
  • Recent experience with an enterprise student information system (i.e. Colleague, Advansys, etc.).
  • KSA Required

  • Strong analytical skills.
  • Must be proficient in Microsoft Office suite.
  • Must have a typing speed of at least 50 wpm.
  • Exhibited skills in communication, interpersonal relations, records management, and office procedures are essential.
  • Ability to organize / prioritize work schedule to accommodate meeting deadlines.
  • KSA Preferred

  • Experience with LEIS and NRS Requirements and Adult Education performance measures.
  • Ability to use Datatel Colleague LEIS screens.
  • Ability to use Benchmark Advansys.
  • Knowledge of Title II Adult Education program policies, procedures and reporting rules.
  • Ability to use the LEIS user manual and NCCCS College and Career Readiness ( CCR ) Assessment Manual.
  • Department / Job Specific Requirements

  • General knowledge of Adult Education programs and the community college system.
  • Ability to participate as a team member, ability to understand and interpret rules and regulations, and ability to readily adjust to change.
  • Must possess a pleasing telephone manner, be diplomatic, and tactful in dealing with people.
  • Must show initiative and require minimal supervision to achieve assigned duties.
  • Must have ability to use own judgment in decision-making situations.
  • Must have good organizational and planning skills.
  • Must be able to work days, Monday – Friday, and at least one evening per week.
  • Travel outside the area may be required to attend organizational and developmental activities.
