Medical Office Assistant (Spanish-Speaking Required)
Biopharma Informatic is seeking a reliable and detail-oriented Spanish-Speaking Front Desk & Medical Office Assistant to support patient-facing operations at one of our clinical research sites. This role requires strong administrative skills, excellent customer service, and the ability to assist with basic clinical intake tasks. Spanish fluency is required for daily communication with patients. ECW EMR knowledge is preferred. Compensation ranges from $18-22 per hour, depending on experience.
Key Responsibilities
Patient Intake & Front Desk Support
- Greet patients and visitors professionally in both English and Spanish.
- Check patients in and out, verify demographics, and update patient information.
- Assist patients with forms, consent documents, and general questions.
- Answer phone calls, return messages, and manage front desk email communications.
Clinical Intake Assistance
Take and record basic vitals such as blood pressure, temperature, weight, and pulse (if trained).Escort patients to exam rooms and prepare rooms for each visit.Support clinical staff with simple non-clinical tasks assigned.Ensure patient charts are updated with accurate, timely information.Administrative & Office Operations
Schedule patient appointments, follow-ups, and study visits.Maintain an organized filing system for patient charts, documents, and study materials.Perform data entry for patient logs, trackers, and enrollment documents.Assist with scanning, uploading, and filing confidential records.Support HIPAA compliance through proper document handling and storage.Communication & Coordination
Serve as the first point of contact for patient questions and direct clinical inquiries appropriately.Communicate schedule updates and patient flow changes to clinical staff.Assist in organizing site meetings, vendor visits, and study-related activities.Technology & Systems
Use Microsoft Outlook, Teams, Excel, and Word daily.Navigate EMR ( ECW system preferred ) / CTMS systems to update charts and document visit information.Learn new systems quickly and assist with basic troubleshooting.Qualifications
Spanish fluency required (professional communication).High school diploma required; some college or medical office training preferred.1–2 years of administrative, medical office, or customer service experience.Strong organizational skills with excellent attention to detail.Clear written and verbal communication skills.Ability to maintain confidentiality and handle sensitive patient information.Comfortable in a fast-paced, patient-facing environment.Ability to multitask and prioritize effectively.Experience taking vitals preferred but not required (training available).
