POSITION SUMMARY : The Dental Receptionist serves as the first point of contact for dental patients and plays a key role in coordinating both clinic-based and school-based dental services. This position is responsible for greeting patients, managing appointment schedules, verifying insurance, collecting payments, and maintaining accurate records. The Dental Receptionist ensures smooth daily operations while delivering exceptional customer service in a fast-paced dental care environment.
ESSENTIAL FUNCTIONS :
- Greet and check in dental patients in a courteous and professional manner
- Schedule, confirm, and reschedule dental appointments using the electronic dental record (EDR) system
- Coordinate and maintain calendars for school-based dental screenings and treatment days
- Communicate with school staff and parents / guardians regarding appointments, consents, and follow-up care
- Verify dental insurance coverage, collect co-pays, and process payments
- Ensure accurate registration, documentation, and transfer of school-based visit data into EDR
- Prepare and distribute appointment reminders and follow-up instructions
- Assist in tracking patient data and coordinating outreach communications
CROSS-TRAINING & DEPARTMENTAL SUPPORT :
Cross-trained to provide scheduling and front desk coverage for medical and behavioral health departmentsServes as a backup receptionist for medical and behavioral services during staff absences or peak timesSupports unified front desk workflows to ensure smooth patient check-in, registration, and insurance verification across departmentsADMINISTRATIVE & COMPLIANCE
Answer incoming calls and respond to patient inquiries or route to appropriate staffMaintain a clean, organized, and welcoming front desk and waiting areaFollow HIPAA and patient confidentiality protocols at all timesParticipate in regular front desk team meetings and quality improvement initiativesSupport special projects, reporting, and other administrative duties as assignedJOB QUALIFICATIONS :
Familiarity with electronic medical records systemsStrong organizational and multitasking skills with high attention to detailExperience with insurance verification and dental billing processesExcellent interpersonal and communication skillsValid Driver License & reliable transportation requiredEDUCATION AND EXPERIENCE :
High School Diploma or GED requiredAssociate’s degree or training in healthcare administration preferredMinimum 1–2 years of experience in a dental or healthcare office setting preferredSalary : $16.00 - $20.00 hourly (based on experience and Qualifications)
