Job Description :
The Inside Sales HVAC Aftermarket Parts Representative plays a key role in driving parts sales by actively engaging with retail and walk-in customers and maintaining ongoing relationships with the current install base. This position is responsible for exceeding sales targets, delivering excellent service across all touchpoints, and building lasting customer loyalty. The ideal candidate is not only reactive to immediate needs but proactively seeks new opportunities, leverages company marketing initiatives, and ensures customers receive tailored recommendations for their HVAC systems.
Essential Duties and Responsibilities :
- Promptly greet walk-in customers in a friendly, courteous manner and assist them with merchandise selection, identifying opportunities for upselling and introducing premium solutions.
- Provide attentive service to customers calling or emailing the store, quickly and accurately looking up parts, quoting prices, and suggesting related or higher-value items based on customer history and needs.
- Proactively maintain and update customer contact and parts usage lists, using these lists to reach out to the existing install base with offers for maintenance, upgrades, and product enhancements that anticipate their future needs rather than waiting for requests.
- Address and resolve customer complaints efficiently and with a service-first attitude, turning problem situations into repeat business opportunities.
- Execute effective business development activities by researching new accounts, identifying cross-selling opportunities, and following up systematically with prospects and existing customers.
- Collaborate with sales teams to strategize on generating traffic and gathering actionable feedback from dealers about customer preferences and ongoing service experiences.
- Leverage corporate marketing initiatives, including promotions, email campaigns, and targeted communications, to create compelling offers that drive inbound calls and outbound customer engagement.
- Advise customers on substitutions or modifications when requested parts are unavailable, always considering long-term trust and satisfaction.
- Accurately prepare sales orders, quotes, invoices, and handle payment or credit authorization.
- Organize and maintain inventory accuracy, protect company assets, and contribute to proactive merchandising and clean, functional store presentation.
- Monitor customer buying patterns and service intervals, initiating outbound calls and emails to provide solutions before issues arise – positioning as a trusted advisor and preferred HVAC parts supplier.
- Ensure all safety procedures are followed and support store operations including shipment unpacking, receiving, and organization.
Experience and Requirements :
Enthusiasm for proactive outreach—actively seeking and acting on sales opportunities rather than relying solely on walk-in or inbound demand.Professional demeanor, strong listening and communication skills, and a collaborative mindset.Demonstrated ability to quickly match alphanumeric sequences.Comfort using CRM systems and communication technology to track customer interactions and automate timely follow-ups.Ongoing commitment to training in HVAC product knowledge, customer service, and technology enablement.Strong attention to detail, organizational skills, and physical ability to handle parts, equipment, and customer communications efficiently.Physical Demands / Work Environment :
Ability to remain stationary at a computer for extended periods.Regular movement throughout office, warehouse, and store, including operation of equipment such as forklifts and hand trucks.Frequent lifting of items up to 25 pounds and occasional lifting up to 50 pounds.Use of close, distance, color, and depth vision for product, inventory, and document handling.Verbal and written exchanges with customers and coworkers requiring clear, accurate communication.Benefits :
