Alabama State University, Facilities Management and Operations, invites applications to fill the position of Operations Administrative Assistant. This position provides operational administrative support to the Vice President of facilities Management and Operations, and assists with the overall control of the office and compliance with university policies.
Duties and Responsibilities :
- Greets visitors and callers, and answers their inquiries or directs them to the appropriate person
- Manages incoming and outgoing correspondence and communications; drafts and maintain records and other documentation in official filing systems
- Schedules appointments, manages the vice president's calendar and coordinates travel arrangements
- Coordinates committee meetings, prepares agendas, and organizes actions items
- Tracks, anticipates, and prepares for upcoming deadlines and events tht require the vice president's attention
- Conducts research and gathers all necessary information for the vice president prior to meetings and events
- Attends meetings to record minutes as needed, publishes minutes after approval
- Assists in preparation of quarterly, annual and periodic reports related to the divisions mission and scope of services
- Serves as liaison and point of contact for the office, including providing support to departments reporting to the Vice President of Facilities Management and Operations
- Conducts new employee orientation, out processing, and Facilities Management and Operations systems and processes training for department staff
- Identifies and recommends improvements for administrative procedures and / or make evaluation judgments in implementing changes as appropriate to administrative procedures
- Assists in preparing requisitions in PeopleSoft as needed
- Manages FM&O website to include project completion advertisement
- Performs other duties as assigned
Bachelor's degree, Master degree preferred; 10 years of relevant administrative supervision experience in office setting are required.
