Bilingual Front Desk / Office Assistant – Join Our Purpose-Driven Pediatric Therapy Team

Work Location : 810 Lawrence Dr, Newbury Park, CA AND 1827 Knoll Dr, Ventura, CA

Part-Time (AM or PM shifts available; must be available for both office locations)

At Children’s Therapy Network (CTN) , our Front Desk Team is the heart of the client experience . We’re seeking a Bilingual (English / Spanish) Front Desk / Office Assistant who is warm, reliable, detail-oriented, and thrives in a fast-paced pediatric environment. About Us

Children’s Therapy Network is a therapist-led pediatric practice providing Occupational, Physical, and Speech Therapy services across Ventura County. We serve over 500 families each year with compassion and excellence. Our Client Services team is more than reception—they are partners in delivering high-quality care and making every family feel supported from the moment they walk in .

What You’ll Do :

Be the first point of contact for families—greet, check in, and welcome each client warmly

Collect and process co-pays, deductibles , and explain basic insurance terms (we’ll teach you!)

Assist families with paperwork and clinic policies in a kind, clear way

Monitor and manage clinician schedules —ensuring they stay full and patients consistently attend

Follow up on cancellations, coordinate reschedules, and help prevent gaps in care

Keep the clinic clean, organized, and stocked —a tidy space helps everyone work better

Support internal communications, supply ordering, and assist with fun events and outings

Key Performance Indicator (KPI) :

Your primary KPI as a Front Desk team member is to keep clinicians’ schedules full and clients attending their sessions consistently . When clients show up, kids make progress, and our entire mission thrives.

Additional Details :

You’ll rotate between our Newbury Park and Ventura locations

Shifts include arriving 15 minutes before opening and completing closing duties

Expect training and support to grow in your role—we’re invested in your success

This role has the opportunity to become full-time as our team continues to grow

Compensation & Bonus Structure :

We offer a competitive hourly rate plus a profit-sharing bonus structure —the better CTN does, the better you do. Your contributions directly support the clinic’s growth, and we believe in sharing that success .

✅ What You Bring :

Bilingual in English & Spanish (required)

High school diploma or GED (some college a plus)

Minimum 2 years of customer service or administrative experience

Friendly, professional demeanor with strong communication skills

Organized, able to multi-task, and stay calm under pressure

Basic computer skills (Google Drive, email, scheduling software)

A love for helping others and contributing to a collaborative team
