Position Summary :
The service center is the main point of contact for all campus maintenance concerns. This position receives and analyzes work requests and trouble calls, creates processes, and prioritizesdetailed work orders, dispatches appropriate work crews and operates the computerizedwork order system. The position provides status updates on in progress workorders. Support is provided for the Lockshop by cutting and issuing keys, maintainingkey issuance records and reports, providing key sets for various contractors, providing and updating key sets forFacilities Management personnel, University Police Department personnel, and Information Services personnel, andoverseeing the operation of the new campus-wide computerized ID Card Access / Perimeter Door Security system. The position providesscheduling support as needed for all Facilities Management shops and other areas within Facilities Management.
Following departmental guidelines andTMA procedures on a daily basis. Employee will find the most sensible andappropriate solution in resolving timesheet issues and errors. After data entry, proofreading isnecessary before completing the timesheetinto the TMA system. Compiles dataentry for 160 classified and 5 exempt employees and 80 hourly employees. whichtranslate to processing approximately 800-1000timesheets monthly. Tries to find themost sensible and appropriate solution to accomplish the unit's objectives inextending customer satisfaction. Thisincludes faster turn-around time in data entry and identifying proper reportingfor daily time records, workers comp and other types of leave. Typical problems encountered when timesheets are filled out incorrectly, wrong work order numbers, hours donot add up, hours not on the right shift, double time entry or not enoughhours.
Challenges consist of meeting timeconstraint deadlines for payroll and billing purposes. This also effects time constraints in resolving issues withtechnicians. Other challenges consist of errors found in auditing prior to entering the final payroll into the banner system. Other challenges appearing occasionally are providing internal auditors with accurate / complete information duringrandom audits of payroll and time records.
Resolution consists of locating thetechnician responsible for the timesheet, via email, phone, or in person.Researching information or conversing with immediate supervisor, sometimesreturning the timesheet to technician for correction and making sure it comes back on time and corrected. Investigating where error is, typically could be a wrong code or typo. All numbers must match 100%.
Job Duties :
Facilities Management Service Center-20%
Receivesand interprets detailed service requests and trouble calls from campusdepartments and assigns them to appropriateshop or contractor. Accesses andoperates computerized work order systems andassigns work orders to the appropriate shop. Creates and logs callback work orders in computerizedwork order system. Operates two-way radio system by dispatchingnumerous work crews to urgent calls for service. Delegates work to other employees as necessary to accomplishtasks. Answeringmulti-line telephone, typing documents, filing as necessary, and assisting walk-in customers is also required. Trains and supervises numerous student employees in ServiceCenter operations.
Key Issuance / Record Keeping-15%
Identifies appropriate key(s) for access to requested area(s),verifies authorized signatures for key issuance, and cuts a new key if required. Replaces broken or lost keys forkey holders by cutting a new key, and inthe case of a lost key, verifies key issuance signature authority to confirm that the key in question should be reissued. Creates and appropriatelyfiles key envelopes for returned keys. Updates and files key envelopes for returned keys. Updates computer key information and keyphysical paper) information databases. Prepares computerized reports for use by Facilities Management and / or by campus departments related to the key or ID CardAccess either required or issued for a designated building, room, or person. Establishes key issuance policies to ensure continuity in key issuance procedures. Maintains security of campus by enforcement of key issuance policies. Trains and supervises numerous student employees in the cutting and issuing of keys following keyissuance policies.
Key Maintenance-10%
Provideskey sets for FacilitiesManagement personnel, Information Services personnel, University Police Department personnel, and all other departments and temporary or seasonal personnel who require key sets by cutting and assemblinginto sets those keys which are essentialfor designated personnel. Maintains computer databasefor key set issuance. Inventories all key sets periodically to ensure accurate record keeping, and to replace worn or missing keys.
Liaison Between Facilities Management and Campus Community-10%
Assists callers and walk-in customers. Advises building representatives of necessary utility outages (e.g. water, electrical),listens to complaints and / or concerns about services provided by Facilities Management from customers and offers possible resolution. Provide updates regarding progress of work orders and related matters.
Card Access-10%
Operates and continually updates the computerized card access system. Schedule and perform minor service and adjustmentsfor hardware and schedule locksmiths to service larger issues. Program ID cards for authorized users, schedulesfor lock / unlock times for buildings.
Contractor Coordination-5%
Contacts and exchangesinformation with outside contractors, including pest control, elevator, etc., forwork orders requiring their attention.
Payroll and Onboarding-25%
Process Monthly and Semi-Monthly Payrollfrom reports generated from TMA and enter into the Banner System. Making surewe meet payroll deadlines. Regulatesthe Leave Book for Facilities Classified Staff by recording / tracking leave time from timesheets and entering them monthly in the Banner System. Processing the necessary paperwork as needed to makesure we are in compliance with rules / procedures. Regulate the Overtime of CompTime Earned and Comp Time Used for Classified employees.
New Employee Hiring and Onboarding
Manage the new hire process for thefollowing units : Facilities Management. This will include managing the process of filling vacant positions, posting jobs, responding to inquiriesabout job postings. Once a candidate is selected, the Program Assistant will beresponsible for the onboarding process including collecting and verifying allnew hire paperwork and ensuring access to necessary systems and software priorto their start date.

Records meter reads on aspreadsheet to upload to ENERGYCAP Software for accounting to compute their billing to the customers.
FacilitiesInventory
Update and Process yearly for StateBuildings by communicating with building coordinators to help with updating spreadsheets for changes in their buildings relating to who is occupying that room and which colleges are responsible for that room.Make necessary changes to TMA room numbers and work with Planning / Constructionfor drawing changes.
CallDuty
Create / manage / update FM call duty schedule rotation every 6 months.
