We are looking for a highly organized and proactive Executive Assistant to join our team in Branford, Connecticut. In this Contract to permanent position, you will provide comprehensive support to the President, ensuring the smooth coordination of daily operations, meetings, and travel arrangements. This role requires exceptional organizational skills, a keen eye for detail, and the ability to maintain confidentiality while managing diverse responsibilities.
Calendar & Travel Management
- Efficiently manage the President’s calendar, optimizing time and prioritizing tasks.
- Plan and coordinate both business and private events, ensuring seamless execution.
- Arrange all travel logistics, including reservations and personal appointments.
Meeting Preparation
Ensure the President is thoroughly prepared for meetings and events by gathering information and creating required documents.Solicit agendas, draft meeting materials, develop itineraries, and manage payments for vendors.Operational Support
Serve as Operations Manager, communicating with office teams and supervising ongoing business projects.Oversee scheduling and supervision of outside contractors / vendors for both business and private needs.Confidential Support
Act as a trusted right-hand to the President, maintaining the utmost discretion, professionalism, and confidentiality.Proactive Contribution
Anticipate needs and contribute proactively to events and special projects.Offer support wherever needed, demonstrating adaptability and resourcefulness.Requirements : Experience
Minimum 3 years of professional or executive assistant experience.Organizational Skills
Exceptional attention to detail with proven multitasking and deadline management abilities.Communication
Outstanding written and verbal communication skills.Proactive, hardworking, and able to anticipate needs.Technological Proficiency
Strong in Microsoft Outlook, Word, Excel, SharePoint, Teams, Zoom, and Adobe Acrobat DC.QuickBooks proficiency is a plus.Attributes

Minimum of 3 years of experience as a detail-oriented or executive assistant.Exceptional organizational abilities with attention to detail and accuracy.Proven capacity to manage multiple tasks and deadlines effectively in a fast-paced environment.Strong communication skills, both written and verbal, ensuring clarity and a high standard of conduct.Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, SharePoint, and Adobe Acrobat DC.Familiarity with QuickBooks is preferred but not required.Resourceful and adaptable, capable of handling dynamic situations with a high standard of conduct.Ability to maintain discretion and confidentiality in all aspects of the role.
