Seasonal Marketing Coordinator
The Marketing Seasonal supports the Marketing team during peak event periods, including the Kentucky Derby and Derby Week. This role is hands-on and execution-focused, supporting marketing-led events, VIP guest logistics, partner hospitality, and on-site operations that bring the iconic Churchill Downs and Kentucky Derby experiences to life. This position is ideal for someone who enjoys fast-paced environments, live events, and behind-the-scenes execution of high-profile moments.
Essential Duties And Responsibilities
- Support the planning and execution of marketing-led events, including Taste of Derby, Derby Week activations, and other special projects.
- Assist with the coordination and execution of VIP guest experiences, including race experiences, private tours, and hospitality programming.
- Manage VIP travel logistics, including hotel accommodations, airline reservations, transportation coordination, and guest communications.
- Provide operational support for partner and sponsor hospitality, ensuring a seamless experience for prospective sponsors, marketing partners, and invited guests.
- Support sponsor and brand integration, including on-site branding, event assets, and marketing deliverables.
- Assist with the development and distribution of internal briefing materials, timelines, agendas, and run-of-show documents for events and activations.
- Maintain and update marketing project status documentation and assist with weekly updates for internal teams.
- Assist with logistical coordination for employee needs during Derby Week, including scheduling and on-site support.
- Provide general administrative and logistical support during peak event periods.
- Assist with post-event wrap-up, including asset returns, documentation, and recap materials.
- Support additional marketing initiatives and special projects as assigned.

- Familiarity with event production, hospitality, or marketing is a plus.
Education And Experience
- Currently pursuing or recently completed a degree in Marketing, Communications, Event Management, Hospitality, or a related field, or equivalent experience.
Physical Requirements & Working Conditions
- Comfortable working nights, weekends, and long hours during Derby Week.
