Position Description

Reporting to the University Librarian, the Associate University Librarian (AUL) for Administrative Services and Organizational Development is the senior administrator responsible for ensuring effective and efficient utilization of the financial, facilities, security, and human resources of the UC Berkeley Library. The incumbent oversees and manages the Library Human Resources Department, Library Business Services, Library Capital Projects & Facilities Management, and Library Security. The AUL has full oversight of staff in these units, including management of the workload through multiple managers and team leads. In close partnership with the University Librarian, the AUL coordinates the Library’s strategic planning and creates an organizational development program that promotes learning, equity, and inclusion.

The AUL provides leadership within the Library for human resources management, employee relations, staff development; space planning and facilities utilization; and financial services and budget allocation. The AUL oversees recruitment, hiring, performance evaluation, and training of staff at all levels; promotes excellent management skills throughout the Library, and works to develop a positive, inclusive, and equitable work environment. The AUL leads the Libraries’ strategic planning and analysis for the effective allocation of new resources and the reallocation of existing resources, including budgets, staffing, and space, to meet current needs and anticipate future priorities. The AUL works closely with an array of people and units across the Libraries and the University on a wide variety of issues.

The AUL serves as a member of the University Librarian’s leadership team, known as The Cabinet. The Cabinet participates in decision‑making for library‑wide policies and the development of long‑ and short‑term strategic plans for the Library. The AUL also represents the UC Berkeley Library on campus leadership groups and on university committees and councils for the entire University of California system.

Key Responsibilities

  • Strategic Management, Leadership & Resource Allocation: Oversee the administrative organization and general functions, including managerial leadership, strategic planning, budget and finance management, HR, labor relations, capital projects, and security. Serve as subject‑matter expert on a range of issues and collaborate closely with campus leaders.
  • Culture Building and Organizational Development: Cultivate a respectful, cohesive, and inclusive work culture. Design and implement initiatives for psychological safety, collaboration, and professional development. Oversee mentorship programs, feedback mechanisms, and conflict resolution.
  • Fiscal Management: Coordinate fiscal operations and supervise the library’s budget of approximately $62 million annually. Liaise with the campus Central Budget Office, the EVCP office, and other units.
  • Human Resources & Labor Relations: Supervise the full range of HR actions, including recruitment, hiring, performance management, reclassification, promotions, and grievances for all library personnel.
  • Library Capital Projects & Facilities Management: Oversee capital projects, facilities staff, and risk management for more than 1 million square feet of space across the Berkeley campus.
  • Security: Supervise library security personnel and maintain safety for the public, academic community, staff, and collections.
  • Other Duties: Complete mandatory trainings annually; coordinate activities for other UC locations or external universities; perform managerial actions such as performance reviews and time approvals; other duties as assigned.

Qualifications

Basic Qualifications

  • Advanced degree (e.g., master’s, PhD, or equivalent international degree) by application date.

Additional Qualifications (required at time of start)

  • Three or more years of experience leading a team, including mentoring, supervising, and/or directing people.
  • Two or more years of experience leading and/or being responsible for a budget.
  • Five or more years of experience in libraries or archives.

Preferred Qualifications

  • MLS/MSI from an ALA accredited institution or equivalent international degree.
  • Two or more years of experience with accounting, budgeting, and cost analysis; effective fiscal management; experience using enterprise financial systems.
  • Strong understanding of library organization, culture, challenges, and opportunities.
  • Demonstrated ability to navigate a complex, matrixed organization.
  • Possess strong collaboration, partnership, and leadership abilities.
  • Commitment to user‑centered services for all constituencies.
  • Experience overseeing diverse functions and teams.
  • Superior analytical, problem‑solving, interpersonal, and communication skills.
  • Project management and change‑management skills for an adaptive learning organization.
  • Effective fiscal management and budgeting skills.
  • Experience with long‑range planning, evaluation, and assessment.
  • Personnel management and team‑building skills, including goal‑setting, talent development, and constructive performance analysis.
  • Experience building effective partnerships and collaborating with key stakeholders.
  • Knowledge of facilities management, space planning, and construction.
  • Knowledge of collection storage management, resource sharing, and shared print programs.
  • Knowledge of continuous improvement concepts and process improvement techniques.
  • Ability to work effectively with diverse staff and constituents.
  • Experience working with a unionized workforce.
  • Demonstrated commitment to the Library’s values.
