The Field Coordinator will be responsible for the smooth execution of events, ensuring that all preparations, activities, and post-event procedures are completed efficiently. This role involves managing event logistics, setting up equipment, conducting presentations, coordinating with team members, and ensuring all medical and non-medical supplies are ready for each event. The Field Coordinator will also be responsible for patient registration, overseeing screenings, and managing the raffle process.
Pre-Event Preparation:
Event Confirmation
Confirm all scheduled events on the event tracking system.
Ensure the correct number of attendees for each event by confirming attendance every Thursday PM of the prior week.
Supplies Management:
Verify the availability of all necessary medical and non-medical supplies for the event the following week.
Ensure the inclusion of essential items such as Essen Table Cloth and Brochures.
System Testing:
Test the Panet Express system one day before the event to ensure it is functioning correctly (every Thursday PM of the prior week).
Day of Event:
Event Arrival and Setup
Arrive at the event location at least 30 minutes before the event starts.
Greet the Coordinator and move to a separate location to conduct any necessary testing or setup.
Set up the event table with all required supplies, ensuring everything is organized and accessible.
Presentation and Raffle:
Conduct the event presentation and announce the raffle. Make sure to hold off the actual raffle until after the screenings are completed.
Patient Registration and Testing Coordination:
Begin patient registration in the ECW system.
Coordinate with the second event coordinator, ensuring they start testing as planned.
Ensure all cardiology appointments are completed.
Complete testing for at least 20 patients within a 2.5-hour window.
Wrap-Up of Event:
Raffle and Next Steps:
Complete the raffle drawing as announced.
Reinforce the next steps for patients regarding their test results and follow-up actions.
Lunch Break:
Take an appropriate lunch break to ensure readiness for the next event.
Afternoon Event (if applicable):
Second Event Setup and Execution:
Arrive at the next scheduled event in the PM.
Repeat all preparation and event tasks as outlined from steps 1 to 9 for the new event.
Additional Duties (as needed):
If no additional event is scheduled, assist in driving additional attendees to future events or perform other necessary duties as directed.
Hourly: $20-$22
High school diploma or equivalent required
Associate's degree or higher in healthcare administration, event management, or a related field preferred
