Job Description

Position Summary

The Administrative Assistant provides high-level administrative support to ensure efficient operation of the office. This role supports managers and employees through a variety of tasks related to organization, communication, and coordination. The ideal candidate is detail-oriented, proactive, and skilled at multitasking in a fast-paced environment.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain electronic and physical filing systems.
  • Handle incoming calls, emails, and mail; route messages appropriately.
  • Assist with travel arrangements, itineraries, and expense reporting.
  • Support event planning, team meetings, and departmental activities.
  • Maintain office supplies inventory and coordinate with vendors as needed.
  • Assist with data entry, reporting, and basic financial or procurement tasks.
  • Ensure confidential handling of sensitive information.
  • Provide general administrative support to team members and leadership.

Qualifications

Required

  • High school diploma or GED; associate degree or higher preferred.
  • 2+ years of administrative or office support experience.
  • Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize effectively.
  • Attention to detail and a high level of accuracy.
  • Preferred

  • Experience supporting management or cross-functional teams.
  • Familiarity with office management tools or workflow systems (e.g., SharePoint, OneDrive, CRM platforms).
  • Ability to handle multiple tasks with tight deadlines.

  • Ability to remain in a stationary position for extended periods.
  • Ability to occasionally lift up to 20 lbs (office supplies, files).
