Administration Director
Career Consulting Partners has partnered with a nationally recognized multi-jurisdictional law firm dedicated exclusively to probate litigation. They are trial attorneys who excel at probate and care deeply about their team, communities, and the clients who trust them to protect and preserve the legacies their loved ones intended.
We are looking for a Director of Administration to lead the day-to-day operations of all offices. You will be reporting directly to the founding partner. This is an opportunity to shape firm culture, drive collaboration and help lead the growth and success of the firm. This position is open to any of our locations in San Diego, Orange County and Los Angeles.
Duties / Responsibilities :
Lead hiring strategy, including recruiting, onboarding, and promoting the firm’s employer brand across all offices.
Monitor staff performance, attendance, client service, and assist Managing Partners with disciplinary actions when needed.
Coordinate annual performance reviews, exit interviews, and offboarding.
Coach, mentor, and develop personnel to foster a diverse and high-performing team.
Administer employee benefits (health, dental, vision, life, FSA, COBRA, 401k) and ensure compliance with workplace policies and regulations.
Manage day-to-day office operations, budgets, staffing plans, vendor contracts, facilities, supplies, and office improvements.
Collaborate with Finance and IT to maintain operational efficiency, internal controls, and security.
Facilitate monthly Paralegal and Directors’ Meetings to align departments and address challenges.
Oversee internal communications, client and visitor access, and support firm events, recognition programs, and marketing initiatives.
Qualifications :
Bachelor’s degree with a minimum of 5+ years of office management experience in a law firm or professional services organization.
Proven leadership skills with the ability to motivate, coach, mentor, and develop personnel.
Strong enthusiasm for building a diverse, inclusive, high-performing team and delivering quality service to both personnel and clients.
Demonstrated ability to embrace challenges, drive change, implement best practices, and build a best-in-class operation.
Excellent organizational skills with the ability to manage multiple priorities under tight deadlines in a fast-paced environment.
Strong financial acumen, including the ability to analyze data, manage budgets, and report variances.
Experience managing office facilities and building operations.
Exceptional communication and relationship-building skills across all levels of the organization.
Willingness and ability to work flexible hours and travel quarterly to regional offices to maintain operational success.
Sound business judgment with knowledge of project management and change management principles.
Results-oriented with a proven ability to manage projects from inception to completion.
Compensation & Benefits :
Salary $130,000 - $160,000
