Advertised Job Summary :

The Department of English at the University of South Carolina invites applications for its vacant FTE Undergraduate Program Coordinator. This position works closely with the Director of Undergraduate Studies to coordinate and monitor the day-to-day operations of the Undergraduate Studies Office in the English Department, serving students in five (5) different major programs of study and four (4) different minors, including the secondary education major in English which tracks students into the Master of Teaching program in the College of Education, requiring coordination with that program. Working in collaboration with the Undergraduate Director, this position performs all administrative duties for the Undergraduate Studies Office associated with student services, course scheduling, departmental scholarships, outreach, recruitment and retention, internships, special programming, and other initiatives. Serves as primary contact for students, faculty, all university offices and departments, and the general public. Provides information in response to email, telephone, and walk-in inquiries regarding procedures for applying to major and minor programs, requirements, courses offered, and registration. Advises the Director, the Department Chair, the Undergraduate Committee, and other administrators on departmental statistics, matters related to enrollment, student services, policies, and procedures. Recommends changes in policies and procedures to improve programs.

Job Related Minimum Required Education and Experience :

Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and / or experience.

Preferred Qualifications :

Master’s degree in Student Services or related field; experience in Student Services.

Knowledge / Skills / Abilities :

Excellent written and oral communication skills, organization, initiative, accuracy, follow-through, interpersonal skills, and proficiency with Microsoft Office (including Excel). Highly desirable are experience working with spreadsheets, USC systems (e.g., Banner, SSC, Data Warehouse), Canva or related graphic design software, and social media platforms (e.g., Instagram, LinkedIn). Familiarity with UofSC procedures and offices also extremely helpful. Flexibility and the capacity to adapt to rapidly changing systems. Must be able to : work independently and proactively; identify, develop and implement procedures; develop publicity materials and organize programs and other activities to support students and recruit them into our programs; establish and maintain effective working relationships with students, staff, faculty, and the general public.

Job Duty :

Compiles, updates, and monitors data necessary to Department program development, curriculum revision, recruitment and retention, and self-study. Compiles statistical data on the Undergraduate English program (course enrollment, students in major and minor programs, alumni placement, etc.) and prepares necessary reports for the Director, Chair and Undergraduate Committee. Maintains records of all course syllabi for Undergraduate courses 200-level and above.

Conducts several critical phases of course scheduling for English undergraduate and graduate programs each term, working mostly independently : Collates the teaching preferences of ~85 faculty members and creates schedule charts for graduate and undergraduate faculty, instructors, and graduate teaching assistants. Assists the Director and the Graduate Office in preparing, proofreading, and making necessary revisions to schedule undergraduate and graduate courses taught in the department, including ENGL (200-899), SAEL, and SPCH. Inputs the master schedule and makes corrections and edits as necessary. Collects, corrects and prepares course descriptions for distribution to students. Assists the Director in monitoring and assigning unstaffed classes. Works directly with the Registrar’s Office to ensure classes have appropriate rooms and resolve scheduling conflicts with faculty, the Director, other units, and the Registrar. Assumes a primary role in coordinating and clearing all cross-listed courses with partner programs (AFAM, CPLT, FAME, FAMS, GLST, JSTU, LING, SPCH, SOST, and WGST). Initiates all application processes for special topics or themed courses. Coordinates class scheduling with South Carolina Honors College. Updates the master schedule as needed to reflect accurate information.

Assist Director and the Chair’s office with outreach, recruitment, retention, and external / alumni relations. Assists with publicizing 5 major tracks and 4 minors to current and prospective students. Assists in the design, preparation, and dissemination of recruitment materials. Collaborates to generate and update undergraduate content on department website and social media accounts (re careers, student successes, etc.). Assists in developing career-related and alumni programming and other events for English students. Conducts Academic Information Sessions for visiting prospective students. Collaborates with Director, the college, Career Center, and other partners to develop and publicize internship opportunities for English students. Gathers and disseminates information and contacts related to internships from alumni and the community. Coordinates and evaluates internships. Assits in developing connections to alumni (e.g., through LinkedIn and other mechanisms).

Provides administrative support and guidance for the Undergraduate Program in English for students enrolled in our five (5) majors and four (4) minors and the ~85 faculty members who teach our undergraduate courses. Communicates as needed on behalf our Undergraduate Office with other university offices and departments as well as the general public. Assists the Director in the execution and development of student services, recommending changes in policies and procedures to improve programs as needed. Disseminates departmental program updates to relevant academic and advisory offices. Facilitates all readmission petitions. Diagnoses and resolves student registration concerns, including holds and departmental overrides. Organizes and documents student self-study (such as independent studies and theses). Verifies students for graduation with distinction. Coordinates student services between the Undergraduate English office and other services on campus. Primary contact for all inquiries regarding undergraduate programs and courses in ENGL, SPCH, and SAEL (but not First-Year English). Types correspondence, answers phones, schedules appointments, maintains files, maintains and updates bulletin boards and undergraduate email listserv with announcements, job and internship opportunities, graduate and undergraduate program information, upcoming conferences, etc. Ensures compliance with federal, state, and university policies and procedures. Provides assistance, as needed, to main office and other staff members in the English Department.

Coordinates the selection and award process for over 20 departmental scholarships and contests each year. This includes working with all phases of soliciting nominations and faculty judges, overseeing vote tally, notifying students, faculty, and awards commission, and procuring plaques and certificates. Coordinates with the Student Financial Aid office in awarding and tracking funding of scholarships and prizes for both undergraduate and graduate students.
