Program Support Assistant- Community Outreach Division
This position operates within the Community Outreach Division (COD) under the Mental Health & Behavioral Services care line. The employee functions as the Program Support Assistant, focusing on administrative and supportive functions of homeless programs. The incumbent assists with and supports complex administrative aspects of all homeless program operations, including data management, program improvement, effectiveness, and quality initiatives to improve the productivity of programs.
The incumbent serves as the automatic data processes applications coordinator (ADPAC), fund control point clerk (FCP), timekeeper, PKI / Trusted agent, and assists with GSA Fleet vehicle management for the Community Outreach Division. The incumbent submits and tracks recruitment onboarding and makes recommendations for data process improvements, advises on setting up data reporting and collection systems, and assists Community Outreach Division Director and Homeless Programs Leadership in the development of routine informational presentations. The incumbent will be responsible for the overall administrative and technical support for day-to-day operations for all of the Community Outreach Division's homeless programs and services. Work assignments involve a wide variety and complexity of problems, issues or situations common to community-based outreach services. The incumbent provides support to division leadership in staff onboarding processes, including assistance scheduling interviews and obtaining references. The incumbent compiles, prepares, and provides assistance in developing statistical data and special reports, compiling / preparing drafts and finalizing papers and / or similar instructional materials in support of program specialties. The incumbent will take minutes, recordkeeping of official meetings, and provides administrative support as directed by the Community Outreach Division Director. The incumbent provides program guidance and development of employees within the service to ensure understanding and compliance related to supply and scheduling needs, and other policies used to ensure the completion of the workload The incumbent will perform other duties as assigned. To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-07 grade level : One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes : Providing administrative support. Gather and analyze information and provide resolution of issues or problems of a procedural or factual nature. Ability to adapt to changing situations, to modify plans and demonstrate flexibility in changing circumstances. Excellent communication skills, both written and verbal. Ability to independently draft correspondence and write / edit / produce reports. Provides support to program leadership to conduct chart audits to verify documentation accuracy and ensure compliance; review discrepancies and provide follow-up actions based on data report findings. Performs a variety of computerized office duties using electronic mail, desktop publishing, calendar, and several different database programs such as Excel, SharePoint, PowerPoint etc. Knowledge of medical terminology and usages. Assists with scheduling meetings, room reservations, and coordination with community partners Preferred experience : Demonstrated experience supporting numerous programs with an attention to detail. Strong organizational skills preferred. There is no educational substitution for the GS-07 level.
