Were now embarking on our most ambitious endeavor yet : the construction of a new 55,000 SF production facility in Woodridge, IL, featuring the latest in production technology and designed to support our next phase of growth.
Your Opportunity to Grow
Were seeking a full-time Office Manager to join our team and serve as the central hub of administrative and operational support for the organization. This role is critical to keeping Demeter running smoothly : connecting people, processes, and projects across departments.
Youll be at the intersection of operations, finance, HR, and project support, helping to create structure and efficiency as we continue to expand. Its an ideal opportunity for someone who thrives in a fast-paced, entrepreneurial environment and wants to make a visible impact every day.
This position is full-time and in-office at our new Woodridge, IL facility.
Key Responsibilities
Administrative & Operational Management
- Oversee daily front-office operations, including communications, scheduling, document management, mailing / shipping, and supplies
- Maintain company records, contracts, and compliance documentation
- Manage relationships with vendors, service providers, and subcontractors
- Create and maintain company asset management and electronic filing systems (SharePoint)
- Support project managers and estimators with proposals, documentation, and invoicing
- Coordinate general office projects and assist leadership as needed
Financial Administration
Collaborate with accounting to manage accounts payable and receivablePrepare purchase orders, expense reports, and credit card reconciliationsAssist in budget tracking and monthly financial reportingSupport payroll, benefits, and tax documentation in partnership with accountingProvide backup coverage for accounting functions as neededHuman Resources & Compliance
Manage onboarding and offboarding processes for all employeesMaintain company HR platform and personnel filesTrack certifications, safety training, and compliance documentationAdminister employee benefits and assist with open enrollment and policy updatesSupport leadership with recruiting coordination and performance review logisticsProcess Improvement & Systems
Streamline, define, and document administrative workflowsMaintain ERP / project management software (Innergy)Support leadership in developing standard operating procedures across departmentsContinuously look for ways to enhance efficiency and communication within the organizationQualifications
Minimum 5 years of office management or administrative leadership experience, ideally in construction, millwork, or manufacturingStrong understanding of project-based accounting and job costingProficient in QuickBooks and Microsoft Office (especially Excel); experience with ERP systems preferredExcellent written and verbal communication skillsHighly organized, detail-oriented, and able to multitask in a dynamic environmentNotary Public license preferred (or willingness to obtain)Ability to maintain confidentiality and handle sensitive information with professionalismWhy Work With Us
