At Demeter Millwork, we build the spaces people remember. We design, engineer, and fabricate custom millwork, cabinetry, and interiors for some of the most recognized brands and spaces across the country.

Founded in 2010, Demeter has grown from a small shop into a full-service architectural millwork manufacturer with a culture grounded in collaboration, accountability, and craftsmanship. Our work spans commercial, institutional, and residential interiors, from casework and feature walls to complex architectural elements that demand precision and creativity.

Were now embarking on our most ambitious endeavor yet : the construction of a new 55,000 SF production facility in Woodridge, IL, featuring the latest in production technology and designed to support our next phase of growth.

Your Opportunity to Grow

Were seeking a full-time Office Manager to join our team and serve as the central hub of administrative and operational support for the organization. This role is critical to keeping Demeter running smoothly : connecting people, processes, and projects across departments.

Youll be at the intersection of operations, finance, HR, and project support, helping to create structure and efficiency as we continue to expand. Its an ideal opportunity for someone who thrives in a fast-paced, entrepreneurial environment and wants to make a visible impact every day.

This position is full-time and in-office at our new Woodridge, IL facility.

Key Responsibilities

Administrative & Operational Management

  • Oversee daily front-office operations, including communications, scheduling, document management, mailing / shipping, and supplies
  • Maintain company records, contracts, and compliance documentation
  • Manage relationships with vendors, service providers, and subcontractors
  • Create and maintain company asset management and electronic filing systems (SharePoint)
  • Support project managers and estimators with proposals, documentation, and invoicing
  • Coordinate general office projects and assist leadership as needed

Financial Administration

  • Collaborate with accounting to manage accounts payable and receivable
  • Prepare purchase orders, expense reports, and credit card reconciliations
  • Assist in budget tracking and monthly financial reporting
  • Support payroll, benefits, and tax documentation in partnership with accounting
  • Provide backup coverage for accounting functions as needed
  • Human Resources & Compliance

  • Manage onboarding and offboarding processes for all employees
  • Maintain company HR platform and personnel files
  • Track certifications, safety training, and compliance documentation
  • Administer employee benefits and assist with open enrollment and policy updates
  • Support leadership with recruiting coordination and performance review logistics
  • Process Improvement & Systems

  • Streamline, define, and document administrative workflows
  • Maintain ERP / project management software (Innergy)
  • Support leadership in developing standard operating procedures across departments
  • Continuously look for ways to enhance efficiency and communication within the organization
  • Qualifications

  • Minimum 5 years of office management or administrative leadership experience, ideally in construction, millwork, or manufacturing
  • Strong understanding of project-based accounting and job costing
  • Proficient in QuickBooks and Microsoft Office (especially Excel); experience with ERP systems preferred
  • Excellent written and verbal communication skills
  • Highly organized, detail-oriented, and able to multitask in a dynamic environment
  • Notary Public license preferred (or willingness to obtain)
  • Ability to maintain confidentiality and handle sensitive information with professionalism
