We are looking for a detail-oriented and proactive Office Manager to oversee daily operations and provide exceptional administrative support. This contract position, based in Seattle, Washington, requires someone who can manage office functions efficiently while ensuring a well-organized and welcoming environment for residents and visitors. Responsibilities :
- Oversee daily office operations, including scheduling, vendor coordination, and resident communications.
- Perform light on-site tasks such as managing trash chute closures and addressing minor issues across the building’s floors.
- Monitor building activities and resolve routine matters independently, minimizing Board member involvement.
- Prepare updates and reports for the Board, respond to inquiries, and coordinate with service providers as needed.
- Maintain an organized and inviting office space to ensure residents and visitors feel welcome.
- Manage office supplies by tracking inventory, placing orders, and ensuring availability of necessary items.
- Handle receptionist duties, including greeting visitors and directing inquiries appropriately.
- Process accounts payable transactions accurately and on time to support financial operations.
- Collaborate with service providers to ensure timely maintenance and operations support.
- Proven experience in office administration or management.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in managing accounts payable and other administrative tasks.
- Familiarity with inventory management and ordering office supplies.
- Ability to perform light physical tasks without heavy lifting.
- Self-motivated and capable of making independent decisions in a fast-paced environment.
