Nuclear Site Document Management Coordinator

Position Summary
This position coordinates, assigns, and monitors overall daily and project related activities for the nuclear sites. Oversees quality customer service and ensures the consistent and uniform use, and implementation of standardized company formats, processes, tools, systems, and standards in addition to adherence to corporate, fleet, and site procedures, policies, and directives.
Essential Responsibilities
- Coordinates the maintenance of the controlled document database in SAP and their associated controlled images in Sharepoint. Issues hard copy document distributions to plant vital locations and non-vital onsite and offsite locations. Ensures all plant controlled vital locations are updated as new and revised documents are issued and conducts annual audits of those files. Generates late notice reports for non-vital locations, initiates and monitors bi-annual inventories of those copyholders, and documents the results to ensure accuracy. Responsible for copyholder distribution database for the plant, training center, emergency centers, government and regulatory agencies at the local, state, and national level.
- Independently prioritizes and coordinates multiple high-priority and time-sensitive projects on a regular basis including timelines and milestones. Monitors the procedure control and change process to ensure there are no overdue items as related to the corrective action process and no violations as related to the quality assurance program.
- Coordinates, documents, and ensures quality control in training new personnel for nuclear document management processes. SME (subject matter expert) in the SAP and Sharepoint applications for controlled documents. Provides guidance to the nuclear site with the retrieval of active and historical document information maintained in those databases as well as documentation from previous legacy databases. Collaborates with management in writing and reviewing the nuclear fleet and site controlled document procedures and policies. Develops and provides training to nuclear fleet and sites.
- Serves as a document control lead in engineering project meetings and coordinates document distributions with project managers on activities related to the document control and procedure change process. This includes document distributions related to plant modifications to ensure timely project closeouts, and deadlines as defined within the scope of each plant refueling outage.
- Responsible for the operation of the copy center for the nuclear site. Coordinates services such as copying, scanning, laminating, and labeling. Coordinates copy requests to be performed by outside vendors.
- Utilizes excellent interpersonal skills in maintaining balance with all parties' requirements and priorities. Provides input and may partner with supervisor for employee selection, encourage employee development and applies effective listening techniques when coaching group members. Demonstrates professional and ethical behavior in all business relationships. Demonstrates the ability to assist and instruct others with various administrative operations to achieve goals.
- Demonstrates "super user" capability and experience in Passport and Sharepoint. Able to work on several projects simultaneously, demonstrating excellent organizational skills. Ability to manage high levels of urgency and high attention to detail. Continuously looks for ways to improve processes to ensure user friendly applications.
Minimum Requirements
High school diploma.Five (5) or more years of experience in an engineering, construction, technical, or business environment with document management responsibilities.Requires a broad knowledge of department operations and policies.Proficient in the use of Microsoft Office Suite applications and Passport required.Some supervisory experience desired.Overtime may be required.Job assignments may require working at various project sites.Preferred
