Our Commercial Construction client is looking for a few good Estimating Coordinators, who committed to completing exceptional construction projects for a competitive price and to developing long-lasting relationships with their clients by providing creative ideas and experience, understanding and communicating clearly in a professional manner.

JOB SUMMARY :

Under the direction of the Estimating Manager, or the assigned Estimator, the Estimating Coordinator (EC) performs administrative duties for the Estimating Department. The primary goal of the EC is to make sure there is sufficient sub coverage on each trade for every bid. The EC is responsible for document procurement, control and distribution as well as project coordination, subcontractor coverage and estimator assistance throughout the estimating process.

Primary Duties and Responsibilities :

• Provide organized, timely and quality administrative support to the Estimating Department as needed.
• Log and review all plans and specifications for each project as soon as they are received. In addition, order plans from the reproduction company as directed by the Estimator.
• Independently, convert files to PDF, index and upload all plans and specifications to SmartBid.
• Independently, create, maintain and archive physical and electronic project files.
• Independently, create and send out an Invitation to Bid for each project after Estimator approves final draft.
• Independently, process any addendums, RFI's or clarifications. Upload to the server and Smartbid and send notice to all subs.
• Independently, fill in sub coverage for trades that do not have sufficient coverage.
• Secure five to six bids in major trades and three to four in other trades.
• Independently, send out final bid reminders and call all subs to find out their final intention (to bid or not) on bid day.
• Assist Estimators with preparation for bid day. Prepare bid boxes for each bid helper including copies or addendums, summary sheet, sublist, posting sheets, table of contents, sub bids and any other documents requested by Estimator(s). Coordinate bid lunches.
• If the project is awarded to TPC, prepare for turn over to Operations : Log all bids, scan proposals, prepare turn over sheet, secure and number all pertaining documents and create a turn over CD.
• If the project was not awarded to TPC : obtain bid results from the estimator and distribute to the proposed subcontractors, log all bids, scan proposals and archive the project file.
• Process and update promptly any SmartBid changes received by subs.
• Provide any administrative support to Estimating, Operations, Special Projects and Marketing as needed.
