As a Touring Production Assistant, you will provide accurate and efficient clerical and administrative support to the Touring Department. You will play a key role in preparing formal proposals, tracking logistics, and ensuring seamless communication for tours and shows.
Proposal Preparation: Prepare formal proposals for prospective clients using quote information provided by Account Executives and internal catalogs and databases
Quote Management: Ensure proposal information is accurate and properly categorized, submit for review, and issue authorized proposals to clients
Database Maintenance: Update Salesforce with quote information, revisions, dates, client details, scope, proposal amounts, confirmations, payment terms, and other relevant data
Tour Information Management: Maintain accurate tour information on SharePoint for easy access and collaboration
Client Coordination: Work directly with clients to manage Certificates of Insurance for each tour or project and follow up on past due accounts
Billing and Invoicing: Coordinate invoices for damaged gear with Operations, bill clients accordingly, calculate taxes based on routing, and track and invoice all touring billing and technician expenses
Deadline Adherence: Consistently meet task deadlines to ensure efficient workflow and project completion
Communication: Share critical information with clients and internal staff regarding the status of tours, shows, and related matters as directed
Experience in an administrative or clerical support role, ideally in a fast-paced environment
Exceptional organizational skills and strong attention to detail
Proficiency in data entry and experience with CRM systems such as Salesforce and SharePoint
Strong verbal and written communication skills for interacting with clients and internal teams
Ability to manage multiple tasks, prioritize effectively, and meet deadlines
Proactive problem-solving skills and willingness to learn new technology
Interest in live events and the audiovisual industry
