Job Summary :
Coordinates the Service Department’s daily activities and provides support to internal and external customers. This position is part time Monday-Friday approximately 20-25 hours per week. Some flexibility with hours may be available.
Job Duties :
- Ensure and maintain a high level of customer satisfaction for both internal and external customers.
- Assist the Service Manager with the documentation of departmental standard operating procedures and processes, required for quoting and processing customer calls.
- Assist Service Manger ensuring incoming customer service request are processed in a timely manner.
- Assist Service Manager with the promotion of service products (contracts, training, etc.).
- Maintain the master service schedule reviewing regularly to adjust for changes in customer requirements, delay in receiving materials and availability of resources.
- Ensure payment terms and purchase orders have been have been received and requirements met prior to scheduling infield service.
- Coordinate / Assist with travel arrangements and documentation.
- Open and close service orders.
- Provide customer follow ups.
- Answer and distribute customer phone inquiries to the appropriate in house specialist
- Responsible for all month end billing, including assisting accounting in generating invoices for service billing.
- Prepare accurate, detailed service quotes.
- Assist the Service manager in developing teamwork to obtain department objectives
- All other duties as assigned.
Qualifications :
Intermediate knowledge of MS Office.Proficient in SAP.Excellent written and verbal communication skills.Strong time management skills, ability to work independently.Team Player.Strong attention to detail.Education / Experience :
HS Diploma or GED.Experience in an administrative role a plus.
