Job Purpose
The Data Department Assistant supports the TaxLeaf corporate office by assisting with all data-related procedures and maintaining accurate client records within Leafnet, our proprietary CRM. This role helps manage service orders, supports document control processes, and ensures compliance with established company, franchise, and licensee policies.
Responsibilities
- Ensure the security of systems and the integrity of master documents through proper access rights and revision controls.
- Maintain active communication with internal entities, franchisees, and licensees.
- Follow up with the Sales Department regarding service inconsistencies, discrepancies, or missing information.
- Provide ongoing updates and feedback to the Data Department Manager to support efficient workflows.
- Assist with implementing policies and procedures related to document storage, sharing, transmission, and destruction.
- Maintain confidentiality of company and client information in accordance with policy.
- Enter data and required codes accurately into the system.
- Retrieve, verify, and update stored data.
- Maintain data input records and system logs.
- Scan, fax, and email necessary files and documentation.
- Perform frequent visits and calls to government agencies as needed.
- Monitor systems to detect errors or malfunctions.
- Operate office equipment according to established standards.
- Transcribe data from source materials into computer-compatible formats when necessary.
- Follow up on pending actions, services, and tasks.
- Perform other duties and special projects as assigned by the department head.
Skills & Qualifications
Bachelors degree or equivalent experience in a technical or related field.At least 1 year of experience in data entry, estate regulations, business incorporation services, or a related area.Experience using CRM systems (Leafnet training will be provided).Strong computer proficiency.Highly analytical and resourceful.Excellent attention to detail and strong organizational skills.Effective time management, multitasking capability, and ability to prioritize.Proactive and self-driven, able to work with limited supervision.Ability to perform tasks outside standard scope when necessary.Work Schedule
