JOB DESCRIPTION
TITLE: Program Assistant
FT/PT: Full time 35 + hours per week, may include some evenings and weekends)
CLASSIFICATION: Non-Exempt
PAY GROUP: Level 13
REPORTS TO: Program Director
SUPERVISES: N/A
FUNCTION: The Program Assistant-I performs varied clerical duties. The Program Assistant-I is responsible for file maintenance/record storage, and general office management. The Program Assistant-I is responsible for the all statistical data collection, management and report compilation. The Program Assistant-I may provide direct support to clients.
ESSENTIAL DUITES & RESPONSIBILITIES:
- Answers all incoming calls in a professional manner, transferring call to the appropriate department.
- Takes detailed, accurate messages, and insures that the appropriate recipient receives them.
- Answers routine requests for information on behalf of the program.
- Performs basic clerical functions as requested; word processing, data entry, typing, filing, photocopying, and fax transmittals, store and update cumulative reports for program.
- Collect and in put statistical data in to the computer.
- Assists Program Director in securing necessary documentation for client files.
- Maintain output of information on monthly reports as well as the monthly recaps.
- Assist in the compilation of required or requested reports.
- Assists the Program Director in maintaining an adequate inventory of office supplies.
- Is responsible for the weekly upkeep of office equipment.
- Assist with direct service to clients as needed.
- Assist with special events as required.
- Pick up and deliver mail to/from Administration office as well as distribute mail within the program.
- Provide orientation on the use of office equipment and distribute supplies to staff members.
- Other duties as assigned.
MARGINAL DUTIES & REPOSNSIBILITES:
- Assist in the upkeep (cleaning) of office space/building.
- May be responsible for petty cash.
QUALIFICATIONS:
Education& Experience:
- High School Diploma or GED
- Certificate from an accredited School of Business or Program.
- Minimally one (1) year of applicable experience.
Language/Writing Skills:
- Must have excellent verbal skills.
- Must have the ability to communicate effectively to diverse group(s) of people in varied settings.
- Must be able to write in a logical, clear and grammatically correct manner.
- Bi-lingual Spanish speaking, reading and writing may be required.
- Must be able to accurately type minimally 40 wpm.
Reasoning Ability:
- Must have the ability to read, analyze and interpret common reports and documents.
- Must be able to response to the needs and/or request of clients, co-workers, supervisors and others in a professional and timely manner.
- Must have the ability to plan and organize in a logical manner.
- Must be able to prioritize and multi-task in an efficient manner.
Physical Demands:
- Must be able to stand and walk up to 1/3 or more of the time.
- Must be able to sit up to 2/3 of the time.
- Must be able to use hand and/or fingers up to 2/3 or more of the time.
- Must be able to lift up to 10lbs up to 1/3 of the time.
- Must be able to hear and talk 2/3 or more of the time.
- Must have clear vision up to 20 inches minimally.
Equipment Used:
- Must be proficient in the use of the computer and various software packages.
- Must be able to use standard telephone.
- May have to use general office equipment including; fax machine, copier, calculator, typewriter, etc.
Work Environment:
- Must be able to work in an office setting with moderate noise levels.
- May be exposed to outdoor weather conditions 1/3 to 2/3 of the time.
- Must be able to travel locally and regionally.
