Office Assistant
We are looking for a dedicated Office Assistant to join our team in Dayton, Ohio. This position is part of a non-profit organization and offers a long-term contract opportunity. The role involves providing administrative support, maintaining office supplies, and ensuring smooth day-to-day operations. Responsibilities include :
- Scanning clinical forms accurately and organizing them for record-keeping.
- Providing coverage for the reception desk, including answering calls during lunch breaks.
- Assembling boxes containing assessment forms for operational needs.
- Distributing and managing office supplies, including tracking back-ordered items.
- Keeping the supply room and form inventory organized and fully stocked.
- Handling outgoing mail by metering it for postal pickup and ensuring incoming mail is delivered to the correct staff.
- Assisting with binder assembly for both new staff.
- Setting up the refreshment table and greeting Board members on meeting days.
- Escorting visitors within the office premises as needed.
- Overseeing shredding processes by witnessing document destruction to ensure compliance.
Requirements :
Proficiency in processing mail and handling outgoing and incoming correspondence.Ability to scan and manage documents with attention to detail.Experience in operating a multi-line phone system effectively.Strong organizational skills to maintain office supplies and form inventories.Capability to set up meeting refreshments and assist with event preparations.Physical ability to clean and organize shared spaces, such as refrigerators.Excellent communication and interpersonal skills for greeting visitors and Board members.Previous experience in administrative or office support roles preferred.
