Administrative Secretary - 64029856

This position serves as an administrative secretary for the Immunization Section and is under the direct supervision of the Vaccines for Children (VFC) Manager. The individual in this position is responsible for tracking all incoming and outgoing assignments, maintaining the filing system, performing day-to-day office functions, and providing general support services to the Immunization Program staff as needed. Among the main duties and responsibilities of this position are :

Types and makes corrections to technical, legal, and medical correspondence reports, memoranda, and other documents from rough drafts to final version using computer equipment. Employee ensures correct format for different correspondence and reports which includes the use of appropriate routing forms. Completes proofreading and ensures that assignment deadlines are met. Employee must maintain current knowledge of proper contact persons, routing schedules, and reference points within the Department as well as in the National Immunization Program, Center for Disease Control and Prevention (CDC), others. Employee uses a computer to log and track incoming and outgoing correspondence and assignments of the VFC field staff equipment and conducts the annual field staff equipment inventory audit.

Employee acts as a receptionist (shared responsibility with other secretaries) in receiving and routing telephone calls, responds independently to routine requests for information, and maintains appointment calendars and efficient message systems.

Employee maintains data entered in the CDC Provider Education and Reporting (PEAR) system related to annual provider staff training along with updating the data in Florida SHOTS.

Employee will assist in the completion of record requests that are generated in Florida SHOTS.

Performs office duties such as filing (sharing responsibility), copying, faxing, scheduling, processing incoming and outgoing mail, and developing new systems or improving existing systems where needed to improve field operations efficiency. Develops material for supervisor's use in public speaking engagements. Employee also performs equipment / supply ordering duties for Immunization VFC field staff and central office staff.

Responsible for the distribution of materials to field offices and the central office, public and private entities as needed and processes forms for printing.

Perform other duties as assigned.

Required knowledge, skills, and abilities : Knowledge of and experience with People First for time and attendance reporting. Knowledge of and experience with computer software, including Microsoft Word, Excel, Outlook, PEAR, and Florida SHOTS. Knowledge of administrative and clerical procedures, skills in typing, writing, and proofreading, skills in customer services, skills in communication and organization, ability to compile and process information, ability to work in a team environment.

Qualifications : Minimum - High School Diploma or GED Preferred - 1 - 2 Years Experience
