Dental Front Desk Coordinator

Carol Stream Dental Associates is looking for an enthusiastic Part-Time Front Desk Coordinator to join our team. The Front Desk Coordinator will be responsible for overseeing and coordinating the front desk activities in the office along with assisting other areas when directed. This position plays a key role in providing excellent customer service, managing patient interactions, and ensuring efficient workflow at the front desk. The ideal candidate will hold a friendly and professional demeanor, demonstrate excellent communication skills and compassion supporting the patient experience. This person works effectively in a team environment and must be able to communicate well.

Schedule:

• Monday 12:30-6:15pm
• Tuesday 12:30-6:30pm
• Wednesday 1:00-6:15pm
• Thursday 12:30-6:15pm
• Friday 8-1pm

Our dedicated team includes:

• Three Dentists (experienced)
• One Office Manager
• One FT Lead Front Desk Coordinator
• Three FT Registered Dental Hygienist
• Three FT Dental Assistant
• Two PT Dental Assistant

Compensation:

• $16-$20 per hour (Based on Experience)

Requirements:

• Patient Interaction:
  • Greet patients and visitors in a friendly and professional manner.
  • Schedule appointments and maintain the appointment calendar.
  • Answer phone calls and address inquiries or direct them to the appropriate department.
  • Verify patient information
• Appointment Management:
  • Coordinate and schedule appointments based on dentist availability.
  • Send appointment reminders to patients and confirm appointments.
  • Handle appointment cancellations and rescheduling.
  • Ensures re-care is being booked.
  • Follows up with patients on unscheduled treatment plans.
• Administrative Tasks:
  • Maintain accurate patient records and update information as needed.
  • Handle patient registration and check-in/check-out processes.
  • Process and verify insurance information.
  • Collect and record payments for services rendered.
  • Oversees and participates in collections of aged receivables.
• Team Coordination:
  • Coordinate with dental assistants, hygienists and other staff to ensure seamless patient care.
• Problem Resolution:
  • Address patient concerns and resolve issues related to appointments, billing, or service.
  • Collaborate with dental professionals to handle patient complaints effectively.

Qualifications:

• Proven experience in a front desk or administrative role, preferably in a dental office.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Knowledge of dental terminology, procedures, and insurance processes.
• Proficient in using dental office software and general office applications.
• High school diploma or equivalent.

Physical Requirements:

• Must be able to lift up to 15-30 pounds at time.
