We are seeking a skilled and professional Legal Office Receptionist & Office Assistant to join our team. The ideal candidate will be the first point of contact for our clients, visitors, and callers. As the face of our firm, you will represent us with professionalism, courtesy, and efficiency. This role requires strong communication skills, ability to manage phones and a high volume of calls, organizational abilities, and a proactive approach to managing office tasks. You will be the key to keeping the office organized and efficient, provide value to our clients and assist our team in doing the same.
Responsibilities :
- Greeting clients and visitors with warmth and professionalism
- Answering and directing calls using a multi-line phone system
- Managing incoming / outgoing mail, deliveries, and courier services
- Scheduling appointments and maintaining calendars for attorneys
- Keeping the reception area and conference rooms organized and presentable
- Scanning, copying, filing, and assisting with general office support tasks
- Coordinating with other administrative staff across offices to ensure seamless operations
- Handling confidential information with discretion and professionalism
Qualifications :
High school diploma or equivalent (college coursework or administrative training is a plus)Previous experience in a receptionist or administrative support roleFriendly, clear, and professional communication style—both written and verbalTech-Savvy-Proficiency in Microsoft Office (Outlook, Word, Excel, Teams); Experience in Hubspot or Clio is a PLUSStrong organizational skills and attention to detailAbility to multitask and prioritize in a fast-moving officeLegal industry experience is helpful but not required
