Position Summary :

The Administrative Assistant will provide essential administrative and operational support to the GSE Supervisor at Boston Logan Airport. This role ensures smooth day-to-day functioning of the GSE department by managing documentation, coordinating schedules, maintaining records, and facilitating communication between internal teams and external vendors.

Key Responsibilities :

  • Administrative Support :

Prepare and manage correspondence, reports, and documentation related to GSE operations.

  • Maintain organized filing systems (digital and physical) for maintenance logs, equipment records, and compliance documents.
  • Assist in tracking inventory, purchase orders, and vendor invoices.
  • Scheduling & Coordination :
  • Coordinate meetings, training sessions, and appointments for the GSE Supervisor and team.

  • Support scheduling of equipment maintenance and inspections.
  • Liaise with vendors and contractors for service appointments and deliveries.
  • Communication :
  • Serve as a point of contact for internal departments and external partners.

  • Relay messages and updates between the GSE Supervisor and other airport personnel.
  • Draft and distribute internal communications as needed.
  • Compliance & Reporting :
  • Assist in preparing reports for regulatory compliance and safety audits.

  • Ensure timely submission of required documentation to airport authorities and regulatory bodies.
  • Qualifications :

  • High school diploma or equivalent; associate degree or higher preferred.
  • 2+ years of administrative experience, preferably in an aviation or transportation environment.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Familiarity with airport operations or GSE equipment is a plus.
  • Work Environment :

  • Office-based with occasional visits to airside or maintenance areas.
  • Fast-paced airport environment requiring adaptability and attention to detail.
  • Pay and Benefits

    The pay range for this position is $20.00 - $25.00 / hr.
