Business Office Manager (BOM) Assistant

Overview :
Stillwater Post-Acute is looking for a reliable and detail-oriented Assistant Business Office Manager to support the financial and administrative operations of the business office. This role plays a key part in maintaining accurate billing, timely collections, and compliance with healthcare regulations.
Skilled Nursing Facility (SNF) experience is required as the position involves direct handling of Medi-Cal applications, health plan billing, and resident payment coordination.
You will work closely with the Business Office Manager and collaborate with other departments to ensure smooth operations and excellent service for residents and their families.
Key Responsibilities
Billing and Financial Functions
- Assist in all aspects of billing for Medicare, Medi-Cal, private pay, and managed care plans
- Process Medi-Cal applications including meeting with new residents or families and submitting applications to the local Medi-Cal office
- Collect co-pays and Share of Cost from residents or their responsible parties
- Bill health plans and assist in resolving claim denials and payment discrepancies
- Post ancillary charges and prepare private statements
- Participate in the Triple Check process for Medicare and managed care billing
- Work with social services to complete Medi-Cal redeterminations and required documentation
Administrative and Recordkeeping
Support the admission process and ensure payer source verificationMaintain accurate census records and resident information systemsFile clinical and business documents on a daily basisMonitor discharge records and follow up on incomplete documentationMaintain confidentiality and security of both paper and electronic recordsEnsure HIPAA and regulatory compliance in document handlingCommunication and Coordination
Communicate with residents, families, insurance providers, billing companies, and healthcare vendorsCoordinate with clinical teams to verify documentation and support accurate billingContact physicians or departments for missing signatures or formsGenerate facility reports including census updates and monthly statisticsTeam and Office Support
Attend and participate in daily stand-up meetings, QAPI or QA reviews, and administrative huddlesSupport the Business Office Manager in day-to-day office operations and staff training as neededRequired Qualifications
High school diploma or equivalentExperience working in a Skilled Nursing Facility (SNF)Understanding of Medi-Cal, Medicare, and private insurance billing processesExperience in collecting co-pays and Share of CostStrong organizational and multitasking abilitiesProficiency in billing software and electronic health recordsExcellent communication and customer service skillsPreferred Qualifications
