Position Summary
More than a manager of behind-the-scenes logistics, the Executive Assistant in Seattle Central's President's Office functions as a true Chief of Staff. This highly visible, outward-facing role provides confidential and comprehensive support to the President and requires a seasoned Executive Assistant with demonstrated experience in strategic planning, budget management, partnership building, and other executive-level responsibilities that demand sound judgment, discretion, and expertise.
In this pivotal role, the Executive Assistant serves as a critical advisor and strategic partner to the President and acts as a key intermediary with the greater college community, ensuring alignment and progress toward the institution's goals.
Strategic responsibilities include but are not limited to : proactively identifying strategic partnerships, supporting policy development and oversight, event management, and preparing presidential correspondence. Other administrative responsibilities include managing the operations of the President's Office : calendar management, room scheduling, and compiling and preparing reports; developing, monitoring, and maintaining financial records / files, creating and maintaining spreadsheets.
Given the high-level and visible nature of this role, the Executive Assistant should be consistently present and engaged on campus the majority of the time.
This position may supervise exempt, classified, student, and temporary employees as well as volunteers.

What you will be working on :
President's Office Liaison, Executive Support & Policy Oversight
Acts as the primary liaison between the President's Office to the Seattle Colleges internal and external community, fostering strong relationships to advance institutional goals.Identifies potential partnerships and connections that would be beneficial to the College and its programs, both internally and externally, collecting contact information for the President and coordinating meetings as needed.Coordinates and supports the President's high-level initiatives, including strategic planning, internal governance processes, and collaboration with college-wide councils and committees (e.g., College Council, search committees, etc.)Serves as a strategic thought partner and critical advisor for the President, contributing to and collaborating on policy updates, strategic planning, and operations oversight.Advises on institutional policies and procedures, ensuring alignment with the college's mission, values, and strategic goals.Represents and / or communicates on behalf of the President at meetings and conferences.Uses sound judgment to respond verbally and / or in writing to requests regarding institutional and administrative policies, guidelines, and procedures and effectively resolves such inquiries in a manner consistent with the College mission, values, and policies.Coordinates the President's Office participation in shared governance processes, including tenure reviews, employee evaluations, conduct and grievance investigation responses, and contract renewals.Assists and supports labor negotiations as needed; provides information regarding collective bargaining agreements to college constituents.Financial Management and Budget Preparation
Prepares and assists in the preparation, compilation, and coordination of reports for financial oversight, purchasing, inventory, and personnel records for the President's Office.Creates and analyzes financial reports, assisting with the budget planning process and providing recommendations based on analyses; provides analytical reports and budget forecasts to assist with decision-making.Monitors and maintains budgets and expenditures; evaluates costs for expenditures.Manages and reconciles department credit cards, including the President's Discretionary card and Foundation credit card.Completes financial and payroll documents using electronic approval process.Manages time and leave for President's direct reports.Manages personal services contracts and submits stipends for the President's Office.Crisis Management
Responds proactively to emergency situations, providing crisis management and support and coordinating with other departments and / or external support as needed to ensure smooth resolution.Facilitates, drafts, and communicates emergency information to impacted communities as needed and with discretion.Administrative Suite Management
Supervises the Administrative Assistant 4 (AA4) in the President's Office which includes : Directing the work of and advising the AA4 in their role at the front desk of the Administrative Suite.Managing front desk coverage and schedules.Responding to emergency situations and providing training as necessary.Provides comprehensive administrative support to the President, including managing the President's calendar, travel arrangement, meeting management, high-level communications, manual and electronic database management, and financial record management.Provides professional and accurate customer service either in person, over the phone, and / or in writing.Compiles information; reviews and edits a variety of documents; composes and sends high-level correspondence on behalf of the President's Office including cross-college communications.Proactively identifies and resolves issues and other concerns by creating college-wide standard operating procedures and / or processes; communicates and trains college-wide community on standard operating procedures and processes.Handles sensitive and confidential information with discretion, exercising sound judgment in responding to inquiries from the internal and external community.Exercises signature authority on administrative correspondence and contracts.Serves on the Washington Association of Community and Technical Colleges President's Assistants Professional Group.Event Management
Leads the coordination and management of major college-wide events including President's Day, Employee Service Awards, Board of Trustees Meetings, District-wide meetings, President's Cabinet, Executive Team meetings, retreats, monthly town halls, and other ad-hoc meetings.Coordinates facilities reservations, refreshment requests, catering, travel, and other event arrangements for on- and off-site meetings and events.This description is not intended to cover every aspect of this job, we are a team that works together to meet the needs of those we serve, and every member of the team is expected to contribute, even beyond the specific responsibilities listed in this posting.
