Tuvli, an Akima company, is hiring for an Office Administrator to support our DoS client located in Washington, DC.
Responsibilities
Job Responsibilities :
Represents theBureau of Democracy, Human Rights, and Labor Front Office(DRL / FO) by monitoring and reviewing all incoming and outgoing correspondence / action and determining the proper action to be taken, with consultation only as necessary.
Forwards assignments to appropriate staff members.
Applies editorial skills and knowledge in proofreading and edit completed work to ensure that the proper clearances and coordination have been obtained and completed assignments meet objectives.
Applies overall knowledge of the office functions to screen and route material of a special interest or sensitive nature directly to the Office Director when appropriate.
Maintains DRL / FO calendars and schedule meetings, both internally and externally, and speaking engagements.
Ensures time and attendance on TATEL is accurate for direct reports and other FO staff as needed.
Serves as the Travel Arranger for theBureau of Democracy, Human Rights, and Labor Front Office (DRL / FO) individuals as necessary, including preparing travel authorizations, obtaining visas and making reservations; working with the OES-DRL / EX Travel Team in closing out travel vouchers; and uploading receipts.
Assists in data entry for annual performance evaluations of staff via ePerformance software system.
Guides procurement of office supplies.
Keeps office phone lists, safe combination information, and other internal information up to date and distributed on an as-needed basis.
Provides courteous and responsive service to visitors and callers, including by answering the phone and buzzing visitors into the suite, and escorting visitors for theBureau of Democracy, Human Rights, and Labor Front Office (DRL / FO) and others as appropriate within the building.
Runs errands related to State Department business as necessary. Photocopy and fax documents.
Tracks travel and office expenses as needed.
Makes repairs, cleaning, and physical maintenance requests as necessary.
Provides escort to char force as appropriate.
Maintains business contact lists (. by scanning business cards and maintaining database of contacts) for theBureau of Democracy, Human Rights, and Labor Front Office (DRL / FO).
Assists in developing and maintaining the Bureau Sharepoint website.
Proofreads and properly format papers submitted for FO review.
Qualifications
Minimum Qualifications :
Experience teaching, coaching, and mentoring professionals on fragile states and transition topics.
Ability to solve problems and encourage consistent, solid performance.
Proficiency in qualitative and quantitative research methods.
English language (written and spoken) communications skills.
Ability to manage multiple tasks, coordinate activities in multiple locations, act decisively in daily work, and work well in a multi-cultural team environment.
Strong organizational, communication, interpersonal, and computer skills.
Ability to work independently to assess priorities and manage daily coordination of details with minimal supervision.
Exercising independent judgment in performing and executing duties.
Scheduling meetings and ensuring appropriate calendar accuracy.
General word-processing and other office support functions.
Active Secret Clearance.
