We’re looking for a Proposal Specialist to support our sales team by coordinating, developing, and submitting professional new equipment and upgrade proposals. In this position, you will manage the proposal process from start to finish — ensuring that all submissions are accurate, compliant, and completed on time. The right candidate will be detail-oriented, organized, and comfortable coordinating input from multiple departments to produce high-quality, customer-focused proposals.

Key Responsibilities

• Manage the full proposal process, including reviewing RFPs / RFQs, creating outlines and timelines, and coordinating input from internal teams
• Review customer requirements to ensure proposals meet all specifications and compliance standards
• Draft, edit, and format proposal documents and supporting materials
• Work closely with sales, engineering, and project teams to gather accurate content and pricing information
• Maintain proposal templates, standard responses, and a library of supporting materials for future use
• Track proposal submissions, deadlines, and results to support continuous improvement
• Support follow-up activities such as clarifications, presentations, and post-submission responses
