The Payroll Coordinator is responsible for processing accurate and timely payroll for field and office employees. This role requires experience with DBA structures , multi-state payroll , and certified payroll reporting for public works projects. The Payroll Coordinator ensures compliance with federal, state, local, and prevailing wage regulations while supporting accounting and project teams.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Payroll Processing
Process weekly payroll for employees
- Manage payroll across multiple DBAs and entities as applicable
- Review and verify timecards, job codes, and labor allocations
- Calculate overtime, prevailing wages, shift differentials, per diem, and deductions
- Process new hires, terminations, pay rate changes, and garnishments
Certified & Prevailing Wage Payroll
Prepare and submit certified payroll reports (e.g., DIR, LCPtracker, eCPR, or similar systems)Ensure compliance with Davis-Bacon Act , state prevailing wage laws, and public works requirementsTrack fringe benefits, apprenticeship ratios, and classificationsRespond to audit requests and compliance inquiries related to certified payrollDBA & Multi-Entity Support
Maintain payroll accuracy across multiple DBAsEnsure proper labor cost allocation by job, project, and entityCoordinate with accounting to reconcile payroll and job costing reportsCompliance & Recordkeeping
Maintain accurate payroll records in compliance with labor lawsEnsure compliance with tax regulations, and company policiesAssist with payroll audits, workers' compensation reports, and year-end processing (W-2s)Collaboration & Support
Work closely with project managers, HR, and accounting teamsRespond to employee payroll questions professionally and confidentiallyAssist with process improvements and payroll system updatesQualifications
Required
2+ years of payroll experienceExperience with certified payroll and prevailing wage projectsStrong knowledge of federal and state wage and hour lawsProficiency with payroll software and ExcelPreferred
Familiarity with payroll / job costing systems (e.g., ADP, Viewpoint, Foundation, Spectrum, QuickBooks)Knowledge of multi-state payroll regulationsCertified Payroll Professional (CPP) or similar certification (a plus)
