Fast-growing robotics startup is looking for an Executive Assistant to support the Head of Operations and Head of Autonomy. This is an exciting opportunity to join a dynamic, high-impact team and help drive success across two distinct leadership styles and operational needs. In this role, you'll function as a right-hand for executives-knowing their workstreams, timelines, and stakeholder relationships deeply enough to make smart decisions in their absence. You'll be a strategic partner who manages complex calendars, coordinates cross-functional initiatives, and serves as a gatekeeper. Someone with exceptional communication skills, high energy, strong problem-solving abilities, and the capacity to thrive in a fast-paced environment with shifting priorities. Previous experience supporting technical leaders is highly preferred. This is an in-office role based in South San Francisco. Must be available and flexible to be in the office by 8am PT. 150-170K DOE + equity, competitive benefits, 401k, flexible PTO, catered lunches, and parking provided.
Responsibilities :
- Provide strategic support to the Head of Operations and Head of Autonomy.
- Manage complex calendars, anticipate scheduling conflicts, and exercise judgment to protect executive time for strategic priorities.
- Keep executives prepped, prepared, and on time for all meetings, including daily executive huddles and high-stakes stakeholder engagements.
- Act as a gatekeeper, passing priorities to executives and preventing distractions from derailing focus.
- Maintain visibility into both executives' teams and workstreams to provide informed support across the organization.
- Organize and facilitate large team meetings, pulling information and providing briefings as needed.
- Act as a proxy in meetings when appropriate, understanding the Executive's interests and taking note of clear next steps.
- Maintain awareness of broader professional commitments beyond core work (investor relationships, board interactions, interview preparation, etc.) and proactively remind executives when these need attention.
- Help executives stay connected to their teams and key stakeholders despite shifting priorities and demanding schedules.
- Build strong relationships with peer EAs and cross-functional teams to create alignment across executive offices.
- Arrange domestic and international travel with detailed itineraries, including priority meetings with key stakeholders. When executives are traveling, provide real-time prioritization support to ensure critical meetings and commitments are managed effectively.
- Manage inboxes strategically to keep executives focused on high-impact work. Triage incoming communications and flag priorities. Communicate clearly and directly with executives, colleagues, and external stakeholders.
- Drive projects forward to successful completion under tight deadlines with professionalism and discretion.
Qualifications :
5+ years of experience as an Executive Assistant supporting senior executives; Bachelor's degree preferred.Tech industry background with exposure to engineering teams and the ability to understand technical concepts is preferred.Exceptional problem-solving skills with a positive, can-do mindset.Excellent verbal and written communication skills, with the ability to communicate clearly, concisely, and strategically.Highly organized and detail-oriented; proven ability to juggle multiple priorities and work cross-functionally.Experience building frameworks for effective executive support, especially in a first-EA role.High energy, proactive attitude, and the ability to adapt quickly in dynamic environments.Executive presence with strong ability to read the room and adjust communication style accordingly.Strong emotional intelligence, capable of anticipating needs, exercising sound judgment, and offering proactive solutions.Please Note : Your application will be considered for all open positions.
