Position Summary

The Linguist Services Specialist plays an essential role in ensuring Linguava promotes a supportive environment for linguists across all service lines including onsite translation over-the-phone and video remote interpreting. Guided by our core value of Above and Beyond Customer Service this position ensures timely responses to linguist inquiries builds community through appreciation events and cultivates a strong sense of connection and support. The role also provides education on client contractual requirements assists linguists in obtaining and maintaining Healthcare Interpreter credentials and partners with internal teams to align with organizational standards.

Essential Duties & Responsibilities

Linguist Liaison and Support

  • Serve as the main point of contact for Linguavas linguists and respond to all inquiries promptly and effectively via phone and email to deliver first contact resolution whenever possible.
  • Conduct proactive check-ins (e.g. 30-day post onboarding) and ongoing outreach to dormant or low volume linguists identified through internal reports.
  • Research and resolve service issues reported by linguists document root cause and follow-up actions.
  • Communicate important company updates operational changes and regulatory requirements to Linguavas linguist network.
  • Provide support with the scheduling application in person or remotely including basic troubleshooting and guidance.

Compliance & Documentation

  • Manage and maintain complete organized compliance and credentialing records track expirations and identify missing documentation.
  • Create and analyze monthly compliance reports to assess overall status and trends.
  • Conduct targeted outreach campaigns to drive completion of required credentials and training.
  • Coordinate background checks and federal exclusion verifications.
  • Lead campaigns to achieve and sustain 100% linguist completion of required training.
  • Assist with client audits by compiling and delivering requested interpreter records accurately and on time.
  • Interpreter Engagement and Community Building

  • Plan coordinate and host linguist appreciation events across Oregon as needed.
  • Track event attendance solicit feedback via surveys and translate insights into action plans as necessary.
  • Represent Linguava at industry events conferences and community outreach initiatives to strengthen relationships and promote linguist engagement.
  • Administrative

  • Research payment inquiries verify payment status and resolve reported discrepancies in partnership with the Accounting team.
  • Educate linguists on mileage and rate protocols invoicing cycles and documentation best practices.
  • Process newly onboarded linguists into operational systems.
  • Maintain accurate records and data across in Linguavas Interpreter Management System.
  • Document SOPs quick guides and FAQs to streamline internal workflows and improve linguist self-service.
  • Cross Functional Collaboration

  • Partner with scheduling quality assurance and client experience to align linguist readiness with real time contractual requirements.
  • Assist with escalations from other departments investigate and resolve issues and close the loop with all stakeholders
  • Monitor communication channels to answer interpreter relations questions and process updates promptly.
  • Reporting

  • Maintain weekly and monthly reports on response times compliance rates event participation and feedback and outreach effectiveness.
  • Identify process gaps and propose improvements that enhance the linguist experience and operational efficiency.
  • Qualifications

    Education

  • Bachelors degree in relevant field preferred
  • Professional Experience

  • 2 years in customer success vendor relations interpreter relations credentialing or operations coordination role (language services or healthcare preferred).
  • Experience managing compliance / credentialing records and conducting targeted outreach campaigns.
  • Familiarity with interpreter management systems and the ability to learn and navigate a variety of web-based platforms and business tools.
  • Demonstrated commitment to language access cultural inclusion and community impact.
  • Knowledge Skills & Abilities

    Knowledge

  • Working knowledge of linguist credentialing processes and standards in the language services industry.
  • Understanding of language access regulations.
  • Understanding of cultural and linguistic diversity in healthcare and community settings.
  • Familiarity with background screening procedures and contractor compliance best practices.
  • Basic understanding of labor laws and contractor classification requirements.
  • Awareness of interpreter training programs and educational pathways.
  • Skills

  • Strong communication skills with a friendly confident presence when speaking to groups or large audiences.
  • Outstanding customer service and relationship building with a calm solutions oriented approach.
  • Strong organization and time management able to juggle multiple priorities with attention to detail.

  • Data tracking and light analysis for compliance outreach and engagement metrics.
  • Skilled in planning and coordinating events and developing distributing and analyzing feedback surveys and other evaluation tools.
  • Creative problem solving through critical thinking collaboration and solution oriented approaches.

  • Build rapport with linguists from diverse cultural and linguistic backgrounds.
  • Adapt quickly to changing priorities in service demands.
  • Effectively manage a fast paced environment while ensuring accuracy clear communication and consistent follow through with linguists clients and team members.
  • Travel locally and occasionally outside of Oregon as needed.
  • Work independently and collaboratively across departments.
  • Technical Proficiencies

  • Proficiency with Google Workspace and Microsoft Office.
  • Business intelligence and reporting dashboards
  • Comfortable navigating and learning a wide range of web based platforms and business tools.
  • Physical Cognitive and Sensory Demands

  • Ability to sit or stand at a computer for extended periods and occasionally lift up to 15 lbs
  • Ability to analyze information manage competing priorities and make timely thoughtful decisions
  • Close vision required for computer use and for reviewing proposals contracts and dashboards
  • Frequent verbal communication in meetings and video calls and clear written communication skills

    This is a full-time position based on a standard business schedule of Monday through Friday 8 : 00 AM to 5 : 00 PM Pacific Time. Occasional flexibility in start and end times may be needed to accommodate business needs.
