This position supports Heart to Heart International’s mission of improving healthcare access in the U.S. and around the world by ensuring quality care is provided equitably in medically under-resourced communities and in disaster situations.
The Heart to Heart International (HHI) Hygiene Kit Program provides hygiene kit assembly events for corporations, organizations and civic groups that wish to engage in philanthropic team-building activities. These events bring participants together to assemble hygiene kits for people impacted by disasters and humanitarian crises.
The candidate will play a key role in planning and facilitating on-site and off-site hygiene kit events—ensuring they are operationally smooth, welcoming for participants, and aligned with HHI’s mission. From coordinating with volunteers and partners to leading events on the ground, you’ll help ensure every event delivers a meaningful experience and tangible impact.
Responsibilities
- Off-site Event Management.
- Lead planning of hygiene kit assembly events by working closely with partners for off-site events outside of the HHI facility (determine number of participants, length of event, budget, event format, event space size, etc).
- Design and set up physical event layouts (table, chairs, flow of materials).
- Lead and execute all preparation, event and clean-up activities onsite.
- Deliver event introductions, presentations, and clear instructions.
- Manage event staff and perform as a team member in event facilitation and tear-down activities.
Collaboration & Coordination
Collaborate with Hygiene Kit Program Coordinator to ensure Logistics, HHI Volunteers and Warehouse personnel perform requisite tasks.Plan, schedule and coordinate the activities of HHI Volunteers participating in the facilitation of off-site events for HHI Volunteers and outside organizations.On-site Event Preparation & Facilitation
Oversee HHI volunteer work sessions to prepare for on-site and off-site hygiene kit assembly events.Perform quality control checks to validate counts of event supplies and raw goods for on-site and off-site events.Act as secondary staff lead for on-site organization and community hygiene kit assembly events by providing an introduction, giving a facility tour and managing HHI volunteers.Ensure events are welcoming, organized and rewarding for all participants.Program Promotion
Partner with Development and Marketing teams to support program promotion.Promote the program to new and existing partners through networking, kit building events, social media, chamber events, and personal interactions.Administration
Maintain organized event documentation and online records.Arrange travel for event staff.Generate and manage event invoices or initiate grant requests.Take event photos and share with communications team.Write and send post-event thank you notes and surveys.Report on distribution of kits to sponsoring / assembling parties.Periodically deliver assembled hygiene kits to local partners.Qualifications
Detail oriented with exceptional planning and organizational skills.Ability to stay calm and problem solve during fast-paced, high-energy events.Strong communication skills; craft detailed and professional emails, well-spoken with the ability to speak in front of large groups.Professionalism in dress, speaking and management at all events.Maintain an on-going knowledge of Heart to Heart International and its programs (including organization history, active programs, active responses, kit types, and the like).Passion for humanitarian work and alignment with HHI’s mission and values.Experience with Microsoft Outlook, Excel, PowerPoint, Word and OneDrive.Ability to lift 40 pounds routinely and be on your feet during events (may include pulling pallets, moving heavy boxes, etc.).Requirements
A Bachelor’s Degree is preferred but not required if candidate has relevant experience.Basic math skills are routinely used.Overnight travel is required for 1 to 4 nights per month.
