Construction Administrator
Job Objective
Provides administrative and organizational support to J. Raymonds project managers. Perform and / or coordinate a variety of administrative, research and planning tasks with minimal supervision. Performs all functions in alignment with the companys culture and core values : Respect-Integrity-Golden Rule-Humility-Trust.
Essential Functions / Responsibilities :
- Provides accurate, timely and efficient administrative support, including the creation of proper documents, correspondence and transmittals.
- Acts as a liaison between internal and external clients. Such liaison may include arranging meetings, seeking clarification or interpretation of a company policy or procedure.
- Builds strong rapport and professional relationships with clients and other business partners, including members of the community.
- Maintains well organized filing systems that permits timely retrieval of documents.
- Answers phones in a professionally polite and friendly manner, attempting to recognize and acknowledge customers and external partners and accommodate routine requests. Take accurate messages for responsible parties when needed and notify others when visitors arrive.
- Prepare special reports and conduct associated research and interpretation of data with limited guidance.
- Provide clerical support, including typing a variety of letters & documents, sorting incoming mail and processing outgoing mail and packages, preparing address labels, shredding documents, etc.
- Create project data base in designated software and set up contracts at job start-up.
- Obtain supervisors signature on all contract, subcontract and change-order documents.
- Prepare owner and subcontractor contract packages with all exhibits, owner and subcontractor change orders and purchase order agreements. Prepare subcontractor pay application packages and forward with subcontracts.
- Assist manager throughout project with plans, contracts, client and customer correspondence, submittal tracking, and close-out process and documentation.
- Help create and maintain project drawing list in designated software.
- Stamp, transmit and log shop drawings.
- Perform secretarial and administrative functions for field staff, including preparing letters, permitting process, punch-lists and ordering and maintaining supplies.
- Type and print AIA documents as required.
- Type general contractors warranty; collect all subcontractor warranties; assemble operations / maintenance manual and as-built drawings to develop comprehensive close-out manuals for turnover to clients.
- Coordinate timely and quality responses to client warranty issues throughout warranty period.
- Maintain on display or ready access all state, county and city licenses and initiate renewal prior to expiration.
- Perform additional assignments or tasks as directed by managers.
Education and Experience :
High school diploma / GED required; Associate Degree in Business preferred.Previous high-level administrative and organizational experience required, with experience in the construction industry.Knowledge, Skills, and Aptitudes :
Working knowledge of general office procedures and business machines, plus ability to produce error free correspondence and spreadsheets.Proficiency in the use of computers and common software programs a must.Superior communication skills, including listening, required.Physical Requirements :

This job operates in a climate controlled office environment. This role uses standard office equipment such as computes, phones, photocopiers / scanners and filing cabinets.
