Can you make the AGC Difference? AGC Heat Transfer, Inc. is looking for a dynamic manufacturing Office Operations Coordinator to support the company's mission to provide reliable, innovative plate heat exchanger products, solutions and services that surpass expectations of food manufacturers.

AGC Heat Transfer, Inc., a wholly owned subsidiary of Alfa Laval, AB, is the leading OEM of sanitary plate heat exchangers in North America, manufacturing plate heat exchangers specifically designed for sanitary applications. AGC offers complete heat exchangers, services as well as upgrades to plate packs, gaskets and spares that fit multiple brands. In addition, AGC offers Field Leak Testing and inspections of plate heat exchangers that meet the 3-A sanitary standard.
AGC Heat Transfer consists of four manufacturing / service facilities (Bristow, VA, Fairview, OR ,Pleasant Prairie, WI & Fort Worth, TX) with about 125 employees (78 OR / 20 VA / 28 other locations). Currently, most of the sales are in the US & Canada. AGC Heat Transfer has a strong engineering culture with a heavy emphasis on customer service and technical / consultative sales.
Job Description
This role provides essential service to both internal and external customers by supporting AGC Heat Transfer, Inc. with workplace services and office administration. This position ensures smooth day‑to‑day office functionality and supports communication, scheduling, and administrative workflows across a fast-paced, engineering‑oriented, and customer‑focused environment. The position is responsible for managing office communications, coordinating administrative procedures, and facilitating key tasks, including ordering supplies, managing calendars, supporting incoming calls and emails, organizing mail, and assisting managers and supervisors with administrative needs.
As AGC Heat Transfer continues to grow—with operations spanning four manufacturing and service facilities and a strong engineering-driven culture—this role supports increasing coordination needs and contributes to an efficient, customer-centered organization.
Operational Responsibilities
- Must be able to provide meeting support with meeting minutes and follow up on action items with Production Manager and Supervisors.
- Review and screen incoming sales orders for accuracy and consistency.
- Review Production documentation to ensure it meets standard operating procedures.
- Act as a key liaison between management and building compliance activities ensuring key activities are completed in advance of deadlines or important compliance dates.
General Administration Responsibilities
Provide daily support for a wide range of office services, ensuring operational needs are met efficiently and reliably. Activities include scanning / copying, mail distribution, supply replenishment, administrative assistance, and basic facility coordination.Develop and implement office procedures to streamline mail distribution, office supply requests, and shared resource usage.Greet and support visitors, customers, vendors, and contractors upon arrival by following our standard entry procedures.Monitors calendars, meeting schedules, and office commitments to support internal teams.Help maintain communication concerning company events and activities.Assist with coordination and communication between AGC Fairview and other AGC plant operations.Other duties as assigned.Key Competencies

1–2 years of experience in an office or administrative support role.High School diploma or GED required; post-secondary education preferred.Must be very proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams).Experience using office equipment such as printers, scanners, and postage machines.Strong customer-service orientation.Excellent communication and interpersonal skills with a professional, patient demeanor.Organized, reliable, and able to prioritize multiple tasks effectively.Ability to work both independently with minimal supervision and collaboratively across teams.Ability to maintain confidentiality and handle sensitive information appropriately.Physical Requirements
Ability to remain seated for extended periods while performing computer-based tasks, phone communication, and administrative duties.Frequent use of hands and fingers for typing, handling documents, and operating office equipment.Ability to lift up to 30 pounds (e.g., office supplies, shipments, document boxes).Ability to walk, stand, bend, or reach as required for office duties.Visual ability to read documents, schedules, and digital information.Ability to hear and speak clearly for phone and in-person communication.Ability to work on site full-time to support office operations.Job Type
