Position : Operations Coordinator

Reports to : Finance and Operations Director

Location : Capitol Hill, Seattle, WA

Position type : Full-Time at 32 hours / week, Overtime-eligible

Salary : $38,400 – $46,400

Ideal Start Date : Monday, January 12, 2026

Artist Trust prioritizes work / life balance and self / community care. We offer 22 days of vacation and holiday time in the first year of employment, including 10 days accrued paid vacation, at least 10 paid holidays (including paid vacation from December 25–January 1), and 2 paid personal floating holidays; Artist Trust also offers accrued sick leave and family leave. Vacation accrual increases after the 1st and 4th year of employment, and four weeks of additional paid sabbatical is offered in the 7th year. We offer group medical, long-term disability, life insurance, and an employer-matched retirement plan at no cost, professional development support for each staff member, and a flexible schedule and hours. This is a 32-hour per week full-time overtime eligible position; salary and paid time off will be prorated at 0.8 FTE.

Overview of position

The Operations Coordinator is essential to keeping Artist Trust running smoothly and our team connected. This role supports the behind-the-scenes systems that make our work possible, including managing our Capitol Hill office, supporting IT and HR functions, maintaining records, and coordinating with our Board and external partners. We’re looking for someone who’s organized, detail-oriented, and proactive, with a collaborative spirit and a willingness to jump in wherever needed. Core Responsibilities & Qualifications

Primary duties include but are not limited to :

Administrative Support

Oversee day-to-day office operations, including customer service, supply and technology inventory, organization, and general upkeep of the Capitol Hill office.

Maintain well-organized organizational and financial records across platforms including Salesforce, our SharePoint file server, and WordPress website.

Serve as the main point of contact for vendors, consultants, and contractors related to office, IT, HR, and special projects.

Support cross-departmental projects such as improvements to internal systems (e.g., Salesforce database), acting as a liaison, and providing coordination and documentation support.

Finance

Collaborate with the bookkeeper and staff across teams to support financial administration and recordkeeping, including processing outgoing payments, preparing deposits, and tracking credit card expenses.

Assist with financial reporting and compliance tasks, including preparation for the annual audit, 990 filings, and budget processes in partnership with the Finance and Operations Director.

Organizational Culture, Racial Equity, and Strategy

Participate in staff meetings, committees, and annual Board and staff retreats, and attend community events.

Attend meetings, organizational learning sessions, and other opportunities to shape our organizational culture and strategic direction.

Grow and apply the skills and practices needed to create an inclusive organizational culture including clear and kind communication, giving and receiving feedback, mutual accountability, and self-care and boundaries.

Collaborate with staff in making strategic decisions.

Support teams as needed.

Qualifications

Proficiency with Microsoft Office and comfort learning new tools (Salesforce, SharePoint, WordPress, etc.).

Familiarity with basic financial processes such as processing payments, preparing deposits, and tracking expenses.

Experience maintaining organized digital records and working with databases and file-sharing systems.

Strong attention to detail and ability to accurately track, organize, and maintain information across multiple systems and formats.

Ability to coordinate logistics for meetings, retreats, and events, including scheduling, materials preparation, and note-taking.

Experience communicating with external vendors, consultants, or service providers to support office or project needs.

Ability to support cross-departmental projects by tracking tasks, maintaining documentation, and facilitating communication.

Experience supporting HR functions and troubleshooting IT issues.

Strong communication skills and the ability to be kind and welcoming to Artist Trust’s community, staff, and Board.

Ability to exercise discretion and independent judgement in managing daily workload and remain accountable to achieving goals and completing tasks.

Current work environment

Artist Trust maintains a physical office in Seattle’s Capitol Hill Arts District. Our work happens in artist communities statewide. Artist Trust maintains a hybrid workplace, with staff splitting their time working from home and in our office. This position would be ideal for someone in the greater Puget Sound region who can commute to our Capitol Hill, Seattle office at least 3 days per week, as well as travel within the greater Seattle area for meetings and events as needed.
