The Volunteer Program Manager leads the development, implementation, and continuous improvement of RMHC Ann Arbors volunteer program to support high-quality, family-centered care for guests with children receiving medical treatment in the Ann Arbor area. This role is responsible for recruiting, training, supporting, and retaining volunteers across all RMHC Ann Arbors programs, while ensuring alignment with organizational goals and partner hospitals standards. Flexibility to work some evenings and weekends, as needed, is required.
Essential Job Functions
VOLUNTEER MANAGEMENT
- Recruit, train, manage, and support volunteers and track their hours and assignments in Volgistics or other electronic platform.
- Maintain master volunteer schedule, replace / substitute volunteers as needed. Develop a pool of reliable volunteers who can assist with volunteer shift cancellations due to illness or other circumstances.
- Create a robust recruitment process that ensures shift coverage during summer, on holidays, and during other times when students are off campus.
- Ensure appropriate electronic records are kept and updated for all volunteers and family services programs in Volgistics or other electronic platform.
- Establish and maintain strong and impactful relationships with volunteers.
- Plan and execute annual volunteer recognition activities and actively steward volunteers.
- Address any volunteer performance issues, in conjunction with the Family Services and Program Director, as needed.
- Revise volunteer policies as needed.
- Provide annual budget expense and act within parameters.
- Continually assess volunteer duties to ensure experience is beneficial and appropriate coverage and support is provided.
HOSPITALITY CART PROGRAM
Manage inventory for Hospitality Cart program.Collaborate with the Family Services & Program Assistant to order supplies.Maintain master volunteer schedule, replace / substitute volunteers as needed.Track and report on families served via Hospitality Cart program.Provide annual budget for the Hospitality Cart program.Work with Mott Volunteer Services department to onboard volunteers and manage the Cart schedule within the hospital.OTHER
Collaborate with the Family Support Manager on special activities as assigned (e.g. annual Holiday Shop, Battle for the Houses, etc.)Perform other duties incidental to the work outlined in this position description as requested by the Family Services & Program Director.Contribute to RMHC Ann Arbor team efforts by maintaining positive, supportive, and flexible working relationships with fellow staff and volunteers in the mutual pursuit of providing comfort and care to families of seriously ill or injured children being served by the Ronald McDonald House Charities Ann Arbor.Education and Experience An equivalent combination of education, training and experience will be considered
Experience managing volunteers and previous non-profit experience, preferred.Proficiency in Microsoft Office applications.Ability to work collaboratively with a wide range of people and personalities.Flexible, diplomatic, trustworthy, creative, poised and maintains a supportive and cheerful attitude.Maintains a professional manner to work with families, visitors, volunteers, and staff.Ability to maintain confidential matters.Able to express oneself in an articulate and effective manner both verbally and in written communication.A multi-tasker with strong attention to detail and organizational skills and the ability to succeed in a fast-paced environment.Proven self-starter who works independently.Enthusiastic, energetic, flexible, creative, and willing to work as a team member.Work Environment Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.
