We are looking for a detail-oriented Executive Assistant to a Chief Financial Officer to provide comprehensive support to senior leadership and departmental operations. This contract-to-permanent position is based in Los Angeles, California, within the healthcare industry, and requires an individual who thrives in a dynamic and fast-paced environment. The role involves managing schedules, coordinating communications, and ensuring departmental processes run smoothly while maintaining confidentiality and a high standard of conduct.
Responsibilities :
- Prepare, edit, and distribute a variety of documents, including correspondence, reports, and presentations.
- Manage calendars by scheduling appointments, organizing meetings, and handling logistics for events.
- Attend meetings, take detailed minutes, and follow up on assigned action items promptly.
- Arrange travel plans, coordinate itineraries, and process expense reimbursements accurately.
- Maintain organized records, databases, and filing systems, both electronically and physically.
- Monitor and order departmental supplies, reconcile purchasing card statements, and ensure inventory is up to date.
- Provide backup support for reception or other administrative functions when required.
- Assist in planning and executing staff appreciation events and organizational activities.
- Collaborate with the Finance Department to coordinate meetings, prepare agendas, and track project milestones.
- Conduct research and compile data to support decision-making processes and departmental initiatives.
- Proven experience in a similar administrative or executive assistant role.
- Proficiency in calendar management and scheduling complex appointments.
- Strong ability to arrange and coordinate travel plans and itineraries.
- Exceptional organizational and time management skills to handle competing priorities.
- Excellent written and verbal communication skills, including the ability to draft detailed documents.
- Familiarity with maintaining both electronic and physical filing systems.
- High level of discretion and ability to handle sensitive information with confidentiality.
- Proficiency in Microsoft Office Suite and other relevant software tools.
