Quality Systems & Data Coordinator

Hanwha Qcells USA Corp (“HQC US”) develops, invests, and delivers solar photovoltaic (PV) and battery energy storage systems (BESS) projects through Engineering, Procurement, Construction (EPC) services in North America.

SUMMARY

The Quality Systems and Data Coordinator is responsible for managing and maintaining the digital systems and documentation that support Quality operations across utility-scale solar and BESS projects. This role ensures accurate project setup, documentation alignment, and records management within Procore and SharePoint, providing the foundation for consistent quality execution.

The Coordinator serves as a documentation control specialist, with a focus on accuracy, organization, and attention to detail. Responsibilities include configuring inspection schedules, uploading forms, maintaining Inspection and Test Plans (ITPs), auditing data accuracy, and orchestrating turnover book deliverables. This role works closely with both the Quality Department and the corporate Document Control team to ensure alignment with organizational standards and compliance requirements. This role is a central organizing force for the Quality Department, ensuring documentation accuracy, digital system alignment, and attention to detail in every aspect of project setup and recordkeeping.

This position reports directly to the Quality Operations Manager (or another designated member of senior management). The role is remote, with standard business hours of Monday through Friday, 8 : 00 a.m. to 5 : 00 p.m. local time. Travel is required up to 15% of the time, which may include short-notice trips and extended site visits as business needs dictate.

ESSENTIAL JOB FUNCTION & RESPONSIBILITIES

  • Establish and configure project locations in Procore to enable accurate and consistent inspection workflows.
  • Upload, maintain, and align project-specific Quality forms, inspection schedules, and Inspection & Test Plans (ITPs).
  • Manage Procore Action Plans and Inspections to ensure proper linkage, scheduling, and execution tracking.
  • Coordinate turnover book efforts, ensuring all Quality deliverables are captured, organized, and archived in alignment with project and contractual requirements.
  • Maintain and audit SharePoint libraries for documentation accuracy, version control, and long-term retention.
  • Audit data and documentation entered into Procore and SharePoint to ensure accuracy, completeness, and compliance with project and corporate standards.
  • Ensure consistency of Quality documentation across projects, supporting alignment with corporate document control standards.
  • Serve as the point of contact for Procore Quality module setup, troubleshooting, and integration with other systems.
  • Support project teams in navigating Procore and SharePoint workflows, providing training and guidance where needed.
  • Own the creation, standardization, and continuous improvement of Quality templates, forms, and documentation tools.
  • Track and report on documentation progress, inspection scheduling, and turnover readiness, escalating risks as needed.
  • Collaborate with the Quality Operations Manager to ensure documentation processes align with departmental objectives and organizational requirements.
  • Provide logistical and administrative support for audits, inspections, and project closeout efforts.
  • Perform other duties and special projects, as assigned.

  • REQUIRED QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Information Systems, Quality Management, or related field with 3+ years of relevant experience; or Associate’s degree with 5+ years of relevant experience; or 7+ years of progressive experience in documentation control or systems coordination.
  • Hands-on experience with Procore (Quality & Field Management modules), including inspections, action plans, ITPs, and turnover packages.
  • Proficiency in SharePoint administration for documentation management, retention, and version control.
  • Proven ability to maintain structured records and digital filing systems that support accessibility, retention, and audit-readiness.
  • Strong technical writing, editing, and documentation skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Demonstrated ability to perform and sustain focus on detailed, repetitive tasks with high accuracy.
  • Effective organizational skills with the ability to manage competing priorities and deadlines.
  • Excellent collaboration and communication skills across departments and stakeholders.
  • Ability to work remotely with a reliable high-speed internet connection and flexibility to support projects across Eastern through Pacific Time Zones as required.
  • Must hold and maintain a valid U.S. driver’s license and have the ability to safely operate a motor vehicle, including the ability to rent vehicles for business travel without restrictions that would interfere with job performance.
  • Ability to successfully pass a motor vehicle / driving record background check in accordance with company policy.
  • Must be able to pass pre-employment, regular, and random drug and alcohol screenings in compliance with company and customer requirements.
  • PREFERRED QUALIFICATIONS

  • Experience working within EPC or EPCm construction organizations, particularly on large-scale solar PV or renewable energy projects.
  • Familiarity with construction turnover documentation requirements and closeout packages.
  • Knowledge of ISO 9001 Quality Management Systems, with exposure to ISO 14001 and ISO 45001 standards a plus.
  • Prior experience in a document control or records management program, with knowledge of version control and retention standards.
  • Hands-on experience creating or auditing Inspection & Test Plans (ITPs) and quality verification checklists.
  • Advanced proficiency with Procore (Quality & Field Management modules), including workflow configuration, data integrations, and system automation.
  • Experience developing and maintaining Power BI dashboards or reporting tools to support project visibility and departmental metrics.
  • Training or mentoring experience in digital systems (Procore, SharePoint, Microsoft Office).
  • Professional certifications in quality, document control, or project systems management (e.g., ASQ, AIIM, or equivalent).
  • Experience working in both subcontractor and self-performing contractor environments, with an understanding of documentation challenges unique to each model.
  • PHYSICAL DEMANDS

  • Ability to remain in a stationary position for extended periods (up to 8 hours per day) while operating a computer and reviewing documentation.
  • Ability to sustain long periods of detailed computer-based work with a high degree of concentration and accuracy.
  • Ability to effectively exchange accurate information in verbal and written form with employees, contractors, and external stakeholders.
  • Ability to occasionally move about an office environment, ascend / descend stairs, and access files or equipment as necessary.
  • Ability to conduct occasional site visits for audits, inspections, and verifications. Site work may require wearing personal protective equipment (PPE) such as a hard hat, safety glasses, gloves, and high-visibility clothing; walking on uneven terrain; and exposure to outdoor weather conditions and construction activity.
  • Ability to travel domestically up to 15% of the time, including by air, with flexibility for short-notice trips and overnight stays.
  • WORK ENVIRONMENT

  • Primary work performed in a remote / home office environment, requiring reliable high-speed internet and standard office equipment, including audio / video conferencing.
  • Occasional work performed in a professional business office setting with low to moderate noise levels.
  • Occasional visits to solar, BESS, and substation construction sites, where conditions may include moderate to high noise levels, outdoor weather exposure, dust, and uneven terrain. Appropriate PPE will be provided and required.
  • Regular interaction with cross-functional teams in both virtual and in-person settings, requiring adaptability to both independent and collaborative work environments.
